Overview
Four Peaks Surgery Center is seeking a highly organized and customer-focused Front Office Surgery Scheduler to join our administrative team. This role supports daily clinic operations by creating a comfortable environment for patients on admission, obtaining and processing necessary information for patient admission, and ensuring timely billing and scheduling of surgeries.
Responsibilities- Serve as the primary point of contact of the ASC with patients; ensure excellent communication between all providers and correct errors in the chart when possible.
- Maintain pleasant and supportive personal interactions with patients, including phone courtesy.
- Perform preoperative chart preparation, including labs and EKGs received from the physician’s office.
- Make preoperative phone calls to help the schedule run correctly the next day and answer patient questions.
- Complete paperwork for patient check-in and ensure HIPAA compliance.
- Identify and verify patient identification and insurance information.
- Maintain the surgery waiting room by keeping it clean and stocked.
- Coordinate surgical scheduling: find solutions to on-site problems caused by late arrival times, maximize case stacking, and confirm cases with physician offices in advance via email, phone, or Allscripts; coordinate changes to current scheduled surgeries and schedule new ones.
- Pass all patient special requests to the correct doctor or employee.
- Postoperative billing: perform chart checks for completion and correct billing forms; verify all necessary paperwork is sent to billing at the end of the day; return incorrect billing sheets to the appropriate personnel for changes.
- Assist with scheduling of repairs and maintenance as necessary.
- Charts: ensure charts are complete within 72 hours post-procedure; complete follow up on operative and pathology reports; organize a filing system for miscellaneous paperwork, operative notes, pathology reports, etc., in patient charts and logs.
- Assist the Nurse Administrator as necessary.
- High school diploma/GED required
- Minimum 6 months of related administrative or front desk experience
- Experience in medical scheduling is preferred (2-5 years)
- Strong written and verbal communication skills
- Ability to adapt to changing schedules or workflows
- Professional demeanor and dependable work ethic
- Comfortable using multi-line phones and basic office technology
- Regular use of phones, computers, and office tools
- Occasional lifting up to 25 lbs
- Requires sitting, standing, bending, and reaching
- Moderate noise level typical of an office environment
- Excellent written and verbal communication skills
- Excellent customer service skills are required
- Experience working in a medical office
- Ability to multi-task in a fast-paced environment
- Detail-oriented
- Basic understanding of healthcare plans; ability to read and understand medical benefits
- Bilingual is a plus
Note: Education:
High school diploma or equivalent.
Experience:
2-5 years of prior medical scheduling is preferred. Federal and state regulations apply;
