Job DescriptionReporting to the Executive Director, the Facilities Manager is responsible for implementing and managing the Utility Management Plan and overseeing the day‑to‑day operations of the Facilities Engineering Department. The Manager leads building maintenance, facility services, infrastructure projects, and regulatory compliance through vendor management, safety oversight, budgeting, emergency response, sustainability initiatives, and communication with clinical and administrative teams.
Principal Accountabilities- Building Maintenance
- Oversee maintenance and repair of facility systems, including HVAC, electrical, plumbing, boiler plant, and all building infrastructure components.
- Coordinate routine repairs, inspections, preventative maintenance schedules, and emergency repairs.
- Maintain facility documentation, policies & procedures, and ensure updated assessment tools.
- Ensure that all systems meet regulatory, safety, and environmental standards.
- Vendor and Contractor Management
- Manage relationships with third‑party vendors, contractors, and service providers.
- Ensure vendors meet service level agreements for equipment support, inspection contracts, snow removal, and landscaping.
- Verify that vendors adhere to contractual terms and deliver services to expectations and safety requirements.
- Safety Compliance
- Enforce ILSM protocols for fire detection and suppression equipment.
- Ensure compliance with local and national safety regulations (CMS, TJC, NFPA, NJDOH, NJDEP).
- Maintain records of inspections, maintenance, and repairs for compliance documentation.
- Develop and report the annual evaluation of the Utility Management Plan.
- Budgeting and Cost Management
- Prepare and manage the facility department’s annual operating budget, including repairs, contracts, snow removal, and operational costs.
- Assist the Executive Director with the annual infrastructure budget and recommend repair/replacement projects.
- Track and report monthly expenses to keep facility costs within budget.
- Identify cost‑saving opportunities and implement efficiency initiatives.
- Emergency Response
- Implement emergency procedures for flooding, power loss, HVAC failures, water and sewer outages, and utility impairments.
- Coordinate emergency response teams and ensure preparedness for unforeseen events.
- Oversee facilities operations during major incidents and communicate with leadership.
- Serve as a member of the OHS/EM Committee.
- Sustainability and Environmental Initiatives
- Promote sustainable practices and energy‑saving initiatives across the facility.
- Communication & Collaboration
- Act as primary liaison between Facilities Engineering, clinical departments, administration, and external agencies.
- Communicate facility impacts, maintenance activities, and project updates to leadership and staff.
- Collaborate with Clinical Engineering, Safety, Infection Control, and Environmental Services to ensure integrated facility management.
Required:
- High School Diploma or equivalent.
- 7 years of experience in healthcare facilities management, property management, or a related role.
- 2 years of leadership and managerial experience.
Preferred:
- Associate degree in Facilities Management, Engineering Technology, or a related field.
