Summary

Performs medical, clerical and reception duties to support the physician in the examination and treatment of patients in an outpatient setting. Supports the University’s and the school’s mission and in accordance with all applicable policies and procedures. Administers vaccinations and intramuscular and subcutaneous injections in limited circumstances, which may be delegated under State Regulations.

Key Responsibilities
  • Clinical Duties:
    • Prepares exam room and sterilizes medical instruments and equipment for tests and procedures.
    • Prepares patients for visits including:
      • Putting patient in exam room
      • Taking history and chief complaint
      • Taking vitals including height, weight, temperature, blood pressure and pulse
    • Performs diagnostic tests per physicians’ standing orders such as EKG, Blood work, Vision and hearing screening, Urine dip, PFT’s.
    • As directed by physician, prepares and/or administers vaccines and intramuscular and subcutaneous injections in limited circumstances, which may be delegated under State Regulations
    • Notifies supervisor to orders clinical supplies including injectables and vaccines, as needed.
    • Assist physicians and nurses during examinations and procedures.
    • Collect and prepare laboratory specimens for analysis.
    • Assist with minor surgical procedures and wound care.
    • Ensures patient’s outside testing results are in the chart for physician review with patient.
    • Documents clinical information in chart or EMR system.
    • Provides clinical care in accordance with training and under supervisor’s direction:
      • Laboratory tests
      • Vision screening
      • Audiograms
      • ECGs
      • Phlebotomy and processing of specimens
      • Allergy Screening
    • Maintains and cleans office medical equipment as required.
  • Administrative Duties:
    • Schedule patient appointments and manage patient flow.
    • Maintain accurate and up-to-date patient medical records.
    • Answer phone calls and address patient inquiries with a pleasant and helpful demeanor.
    • Handle billing and coding for insurance purposes.
    • Verify demographics and insurance information and updates in billing system.
    • Verify patient’s insurance through insurance lists and/or via insurance websites.
    • Collect appropriate co-pays from patients.
    • Complete batches as scheduled prepares the deposit for pickup.
    • Retrieve referrals for appropriate visits and enters in billing system.
    • Ensure the cleanliness and organization of the exam rooms and clinic areas.
    • Maintain inventory of front office supplies and notify supervisor when supplies need to be ordered.
    • Sign in and out to the answering service daily as directed.
    • Arrange for patient care services at other facilities, including surgeries, preadmission testing, etc.
    • Call for pre-authorizations and pre-certifications as required by the patient’s insurer.
    • Coordinate requests for prescriptions from patients, provide chart to physician, telephones prescriptions at the direction of the physician, and make notation in the patient chart with date and signature.
    • Handle incoming and outgoing mail.
    • Pull patient charts for next day and prepare chart.
    • Open and close offices as assigned by supervisor. Activate and deactivate security system as assigned by supervisor.
    • Maintain a professional and orderly office appearance.
  • Other duties

    • Attend all mandatory in-service and trainings as directed.
    • Maintain competence in all applicable office computer systems.
    • Support and adhere to the University policies regarding HIPAA and confidentiality.
    • Assist with the orientation and training of new employees as requested.
    • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent.
  • Completion of an accredited Medical Assistant program.
  • Certification from a recognized certifying body (e.g., AAMA, AMT, NHA, NCCT).
