Administrative Support Assistant (temporary) – Employee Health & Wellness
At Stony Brook Medicine, the Administrative Support Assistant with the Employee Health & Wellness Department will provide front‑desk, customer‑focused administrative support, assisting employees, office staff, and the Director of Employee Health and Wellness.
Duties- Coordinate with Hospital Human Resources on new employee pre‑employment physicals, annual assessments and related issues.
- Prepare, distribute, and follow up on employees not compliant with annual physical assessment.
- Assist the Director with office flow and operations, ensuring a high‑volume schedule is maintained.
- Ensure timely and accurate data entry, review and audit.
- Greet employees, answer questions, and provide information on office protocol and policies.
- Schedule annual and pre‑employment appointments, manage patient discharge in Cerner and IDX.
- Coordinate with admitting to ensure effective interactions and minimize errors.
- Prepare daily paperwork for MDs/PAs/RNs, including creating, pulling and filing charts (hardcopy and electronic).
- Manage supplies, order and restock forms needed for department operations using hospital systems.
- Participate actively in department activities, events, meetings and huddles.
- Required: Associate’s degree; minimum 2 years outpatient office experience with high volume face‑to‑face patient/customer interaction; experience with Electronic Medical Records; proficiency in Microsoft Office; excellent customer service, communication, interpersonal skills; highly organized and able to multitask.
- Preferred: Experience using Cerner, IDX, People Soft; prior physician office scheduling system experience; experience working directly with Human Resources Services; experience in an Employee Health/Occupational Medicine clinic.

- Submission of required New York State license(s)/certificate(s).

CompensationSalary range: $45,372 – $58,366 per year. Additional annual supplemental pay may include a location pay of $4,000 for full‑time positions. Benefits include generous leave, health plans, and a state pension.
