Job Overview

- Respond to appropriate requests for information.
- Act on correspondence – respond to or refer to the appropriate person.
- Provide routine advice on areas of knowledge/expertise to staff, students and external parties.
- Liaise with partner services and organisations.
- Prepare and complete routine documents, including letters, reports, presentations and forms.
- Handle telephone queries and direct them as appropriate.
- Assist patients, clients or relatives during incidental contacts such as phone calls.
- Make decisions on enquiries and contacts, prioritise work and resolve conflicting appointments.
- Enter and process data, using paper or computer‑based systems.
- Take and transcribe formal minutes.
- Produce basic statistical reports.
- Maintain information systems.
- Plan and organise straightforward tasks, including maintaining filing systems and electronic databases.
- Coordinate programmes of work such as training schedules, events or the use of rooms.
- Arrange meetings and diary management, and manage on‑call rotas.
- Maintain auditable stock control and security of stock, particularly cash office and stationary; manage other resources such as clinical/medical stock, projectors and laptops.
- Provide advice or demonstrate workplace routines to new or less experienced employees.
- Undertake surveys or audits as required.
- Experience in an administration role with recent experience of minute taking.
- Proficient RSA Stage 3 or equivalent typing skills.
- Good computer skills, knowledge of electronic/manual filing systems and use of office equipment.
- Excellent prioritisation, written and verbal communication skills.
- Strong team worker, willing to undertake relevant training courses.
- Experience in a crisis care or similar environment is desirable.
The post is a Band 3 Team Administrator. Priority will be given to NHS staff across the region who are at risk of redundancy, where the vacancy is at the same band or one below their current band and candidates meet the essential criteria for this post.
All employees new to the Trust will be subject to a six‑month probationary period.
All clinical staff bands 2–4 new to the Trust will be required to complete a Care Certificate.
Travel expenses for interviews are not covered.
