Band 3 Job Overview

We are looking for a motivated and enthusiastic individual to join our busy Patient and Organisational Safety Team. The post is a part-time, 30 hours per week, band 3 role, fixed term contract (secondments will be considered).

Main Duties of the Job
  • Attending to calls and enquiries, liaising with other teams and departments, booking meetings, and managing team requests; monitoring patient safety data and supporting a multi‑disciplinary team.
  • Providing good communication skills, being friendly and approachable, and having a broad range of IT skills; minute taking, maintaining Excel spreadsheets and statistical records.
  • Detailed Responsibilities
  • Providing and receiving routine information to inform work colleagues, patients, clients, carers, the public or other external contacts; includes reception cover.
  • Responding appropriately to requests for information; acting on correspondence by referring to the appropriate person if required.
  • Answering routine queries from patients/clients/carers/colleagues/public and preparing routine documents such as letters, reports, presentations and forms.
  • Handling telephone queries and sharing responsibility for reception duties.
  • Making decisions on how to deal with enquiries, prioritising work, resolving conflicting diary appointments, and schedules.
  • Maintaining data entry, text processing or storage of data compiled by others in paper or computer based systems.
  • Understanding routine work procedures, confidentiality policy, governance policies, team standards, and use of the Big Hand system.
  • Planning and organising straightforward tasks, typing reports, letters, training tools, disseminating key information, and maintaining team training plans.
  • Co‑ordinating programmes of work and ensuring appropriate facilities are available for scheduled events.
  • Maintaining stock control and security of stationary and other resources.
  • Providing advice and demonstrating workplace routines to new or less experienced employees.
  • Undertaking surveys or audits as necessary.

    Person Specification Qualifications
    • NVQ Level 3 or equivalent, or willingness to work toward it.
    Experience
    • Previous experience required within admin.
    • Knowledge of a range of secretarial work procedures and software programmes.
