Associate Superintendent, Administration and Finance
QUALIFICATIONS
- Minimum of five (5) years of progressively responsible administrative experience in finance, school administration, or related field required.
POSITION SUMMARY The Associate Superintendent of Administration and Finance provides executive leadership and strategic oversight for all financial and administrative operations of Meridian Technology Center. This position ensures fiscal integrity, regulatory compliance, operational efficiency, and alignment of financial practices with the organization’s mission, vision, values, and Culture of Excellence.
ESSENTIAL JOB FUNCTIONSFinancial Leadership and Oversight
1. Provide direct supervision and leadership to Finance Department staff, including the Bursar, Accounting Clerk, Accounts Payable Clerk, and Payroll Clerk.
2. Ensure accurate and timely maintenance of all financial records and transactions.
3. Monitor the receipt and deposit of funds in coordination with the Treasurer.
4. Oversee receipt and accounting of all activity funds.
5. Direct preparation of all financial reports for internal and external stakeholders.
6. Oversee claiming and reimbursement of Federal, state, and other funding sources and ensure timely payment of claims.
7. Lead preparation, administration, and monitoring of operational budgets, including General and Building Funds.
8. Monitor revenues and expenditures across all funds to ensure fiscal responsibility and compliance.
9. Oversee payroll operations and employee contract preparation.
10. Oversee student tuition reporting, including account adjustments and IRS Form 1098‑T preparation and submission.
11. Serve as primary liaison to external auditors and coordinate audit processes.
12. Conduct or oversee internal audit procedures as necessary.
13. Oversee online auction and related financial activities.
Compliance, Governance, and Risk Management
1. Maintain all insurance records, reports, and policy documentation.
2. Serve as Encumbrance Clerk and Activity Fund Custodian.
3. Serve as Minutes Clerk, supporting the Superintendent/CEO with:
- Recording official meeting minutes
- Ensuring compliance with the Oklahoma Open Meetings Act
4. Maintain working knowledge of Oklahoma school law and Career Tech regulations and support policy compliance efforts.
5. Ensure all financial and administrative processes align with applicable laws, regulations, and board policies.
Leadership, Culture, and Organizational Support
1. Conduct annual performance evaluations of supervised personnel in accordance with district policy.
2. Participate in required and role‑relevant professional development.
3. Support public relations efforts that promote organizational transparency, staff morale, and community understanding.
4. Collaborate effectively with instructors, administrators, and support staff.
5. Assist in upholding and enforcing Board of Education policies and administrative procedures.
6. Ensure timely and accurate reporting to the Superintendent and the Oklahoma Department of Career and Technology Education.
7. Promote Meridian Technology Center, its programs, and employees at all opportunities.
