Schedule: Monday–Friday, 8:30 AM – 4:30 PM (On-site, not remote)
The Receptionist plays a vital role as the first point of contact for clients, visitors, and team members. This position enhances the client’s experience by providing a warm and professional welcome, supporting daily office operations, and assisting with light administrative tasks. The Receptionist ensures the Staunton office runs smoothly, maintains a polished and professional environment, and supports Client Service Managers (CSMs) and Financial Advisors (FAs) with day-to-day needs.
- Open and close the office daily during standard business hours.
- Serve as the first point of contact at the front desk, greet clients and visitors with friendly, professional demeanor.
- Answer and route incoming calls; return client messages promptly and direct inquiries appropriately.
- Manage office appearance and supplies: keep the reception and meeting areas organized, restock supplies/snacks, and maintain a professional aesthetic.
- Assist with scheduling client appointments, confirming meetings, and coordinating documents for signature (electronically or by mail).
- Prepare and send correspondence, birthday and thank-you cards, and other special-occasion communications, while maintaining compliance gift logs.
- Handle basic administrative support, including filing, maintaining records, check logs, and compliance submissions.
- Provide logistical support for occasional client events and firm-sponsored seminars (1–3 per year; attendance required with additional compensation).
- Collaborate with remote team members to ensure seamless communication and client service.
- Perform other duties as assigned to support the branch and client service teams.
Qualifications
- Professional presence with strong interpersonal and communication skills (in person, phone, and written).
- Previous front desk, receptionist, or client service experience.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and ability to learn internal systems.
- Strong organizational skills; able to multitask and manage competing priorities.
- Self-motivated and reliable; capable of working independently while supporting a remote team.
- Ability to remain calm, professional, and service-oriented in a fast-paced environment.
