AboutThe Role
As an Executive Assistant, you will be a strategic partner to the executive team, providing high-level administrative support and ensuring the seamless operation of executive functions. Your role will be pivotal in managing complex schedules, coordinating high-stakes communications, and handling a variety of tasks that contribute to the overall efficiency and success of the organization. You will also play a key role in managing relationships with internal and external stakeholders.
Your'day to day'
- Strategic Administrative Support:
Provide comprehensive and strategic administrative support to the executive, including managing complex calendars, scheduling high-level meetings, and coordinating extensive travel arrangements. - Advanced Communication Management:
Handle incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely and appropriate responses. Act as a liaison between the executive and internal/external stakeholders. - Executive Meeting Coordination:
Organize and prepare for executive meetings, including drafting agendas, taking minutes, and following up on action items. - High-Level Document Preparation:
Prepare and edit high-level documents, reports, presentations, and other materials as needed. Ensure all materials are accurate and professionally presented. - Comprehensive Logistics Oversight:
Oversee logistics for events and meetings, including accommodations, transportation, document production, itineraries, and catering. Ensure all logistical aspects are flawlessly executed. - Project Leadership:
Lead the planning and execution of special projects and initiatives, ensuring deadlines are met and objectives are achieved. Provide project management support as needed. - Confidentiality and Discretion:
Maintain the highest level of confidentiality and discretion in handling sensitive information. Ensure all information is securely managed.
- Bachelor's degree required in Business Administration, Communications, or a related field.
- Minimum of 7 years of proven experience as an executive assistant or in a similar senior role. Experience supporting C-suite executives is highly preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Familiarity with project management tools is a plus.
- Exceptional organizational skills and ability to manage multiple complex tasks and priorities efficiently.
- Excellent verbal and written communication skills, with the ability to communicate effectively at all levels of the organization.
- High level of accuracy and attention to detail.
- Strong problem-solving skills and the ability to think critically and strategically.
- Ability to adapt to changing priorities and work effectively under pressure.
- Strong interpersonal skills and the ability to work well with diverse teams and stakeholders.
- Ability to manage relationships and communications with multiple stakeholders effectively.
- Demonstrated ability to lead and direct the work of others, even without formal authority.
Annual Base Salary Range: $88,000-$110,000
