The Fleet Manager plays a crucial role in managing a company s vehicle fleet, which is essential for operational success. They are responsible for ensuring that vehicles are maintained, costs are minimized, and logistics are optimized. This position requires strong organizational skills, excellent communication, and knowledge of fleet manager software.
Responsibilities- Fleet Maintenance & Vehicle Readiness
- Coordinate and track preventative maintenance, repairs, and inspections for vans, trucks, and pickups
- Maintain accurate service records, work orders, and warranty documentation
- Manage vehicle recall notifications and dealership/vendor repairs
- Respond to and manage telematics alerts (e.g., engine diagnostics, maintenance codes)
- Ensure spare vehicles are clean, maintained, and in rotation-ready condition
- Coordinate cleaning and detailing of fleet vehicles
- Compliance & Safety Oversight
- Maintain and update vehicle registrations, inspections, insurance, and titles
- Enforce compliance and internal safety policies across the fleet
- Schedule and manage safety audits, inspections, and incident reporting
- Fleet Data & Performance Reporting
- Generate regular reports on fleet utilization, downtime, and maintenance trends
- Assist in budgeting and forecasting for maintenance, replacements, and vehicle lifespan planning
- Cost Control
- Monitor fuel usage, maintenance costs, and overall fleet expenses
- Identify opportunities for cost savings and efficiency improvements
- Act as the primary point of contact for service vendors, dealerships, and repair facilities
- Communicate vehicle policies and operational updates to internal teams
- Support onboarding of new drivers with telematics tools and fleet procedures
- Warehouse & Inventory Coordination
- Oversee material stocking of fleet vehicles and warehouse inventory
- Monitor and manage vehicle-related parts inventory to reduce downtime
- Previous experience in fleet coordination, logistics, or vehicle maintenance is strongly preferred
- Solid understanding of DOT requirements, vehicle diagnostics, and maintenance scheduling
- Exceptional organizational skills and a sharp attention to detail
- Proven ability to prioritize tasks and meet deadlines in a fast-paced environment
- Valid driver s license with a clean driving record
