We are looking for an experienced, organized, and personable receptionist & administrative assistant to support our U.S. operations and serve as the primary point of contact at our headquarters.
Job SummaryThe role involves managing the front desk, supporting senior leadership, handling administrative projects, and ensuring a positive experience for employees and visitors.
Key Responsibilities- Welcome employees and visitors with professionalism and warmth.
- Manage the visitor management system, issuing badges, collecting NDAs, and enforcing security procedures.
- Maintain an organized, presentable, and secure front‑desk area.
- Handle incoming communications, diverting emails and inquiries to the appropriate teams.
- Support onsite leadership with sitewide communications, event planning, restocking, procurement, and purchase order processing.
- Maintain accurate logs of routine tasks and visitor/employee traffic.
- Provide comprehensive administrative support to the workplace and senior leaders.
- Manage calendars, book domestic and international travel, process and approve expense reports.
- Take detailed meeting notes, synthesize outcomes, and track follow‑ups.
- Prepare documents, presentations, and correspondence at an executive level.
- Maintain workflow standards, identify improvement opportunities, and implement solutions.
- Coordinate office-wide events and team functions.
- Handle all incoming and outgoing mail, packages, and courier services, distributing items appropriately.
- Monitor general office equipment (printers, copiers), coordinating maintenance and consumable replacement.
- Coordinate meeting-room schedules, ensuring common areas are tidy, stocked, and ready for use.
- Act as the primary contact for routine building maintenance and office service vendors.
- Bachelor’s degree in Business Administration.
- At least 5 years of experience in a receptionist or administrative support role within a corporate environment supporting C‑suite leaders.
- Ability to prioritize in a fast‑paced environment with shifting priorities.
- Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Teams) and familiarity with office‑management tools.
- Strong written and verbal communication skills, including copywriting.
- Professional appearance, welcoming demeanor, and positive attitude.
- Discretion and ability to maintain confidentiality.
- Prepared to work nights and weekends as needed.
- Proactive, independent problem solver with strong organizational skills.
Annual salary plus stock awards and benefits. Pay may vary based on location, experience, and qualifications.
