The Imaging Department Scheduler is responsible for entering all Imaging procedures into the medical software program, communicating equipment, staffing, and ancillary needs to the Imaging Admin Team Leads or Imaging Director. The Imaging Department Scheduler will be cross trained in other functions of the registration area and surgery scheduling if needed. The Imaging Department Scheduler reports directly to the Imaging Admin Team Leads and/or Imaging Director.

Responsibilities
  • Works in extremely high volume/high stress area requiring multitasking at all times.
  • Utilizes different hospital systems to perform various functions:
    • For example:
      Nova Rad RIS, Nova Rad PACS, Medi Tech
  • General management of the telephone system. Deactivating after hours answering service/night ring; activating after hours answering service/night ring; and ensuring the after-hours/emergency message is correct and activates.
  • Protects patient confidentiality and dignity by concealing patient information.
  • Schedules all Imaging procedures as requested by the attending physician or the attending physician’s office staff.
  • Coordinates efforts with the Imaging Admin Team Lead or Director to prevent equipment and staffing conflicts and schedules ancillary services relative to a procedure(s).
  • Captures complete and accurate patient clinical, demographic and insurance information.
  • Communicates to the Imaging Admin Team Leads and/or Imaging Director and Patient Accounts Representative (responsible for benefits verification) same day and next day add-on cases, scheduling conflicts, and any patient problems.
  • Maintains positive communication with medical staff members and their office personnel.
  • Always maintain a presence in the phone queue with the exception of lunches and breaks.
  • Retrieves and forwards general mailbox messages to the appropriate personnel.
  • Tracks cancellations and reschedules patients as needed.
  • Informs the Imaging Admin Team Leads and/or Imaging Director of any issues that may result from turning a patient away.
  • Monitors and maintains block time.
  • Cross-trains in pre-authorizations for procedures.
  • Cross-trains in some functions of the Registration/Receptionist.
  • Cross-trains in some functions of Medical Records. Retrieves patient’s medical records upon request of the Patient or medical provider. This includes printing reports, burning CD’s, and having the patients sign a medical release and scan into their chart.
  • Cross-trains in some functions of surgery scheduling.
  • Assists the Imaging Director with duties such as entering new physicians, making reminder calls, sending reports or any other duties the manager needs help with.
  • Assisting with other duties as directed by the Imaging team leads and/or Imaging Director Including processing appeals, registration/scheduling efficiency and assisting with the goal of zero (0) patients waiting/no calls holding.
  • Other duties as assigned.
Qualifications
  • Experience in high volume/high stress environment, which demonstrates ability to multitask.
  • High school graduate or equivalent. Associate’s Degree preferred.
  • Demonstrated ability to type 45 wpm.
  • Comprehension of medical terminology.
  • Minimum one (1) year scheduling experience in an ambulatory surgery facility, acute-care hospital, or doctor’s office.
  • Must have experience using scheduling software.
  • Must have experience using Windows 95 or NT.
  • Excellent communication skills.
  • Competency in oral and written skills.
  • Ability to prioritize and complete tasks in a timely manner.
  • Ability to perform multiple tasks simultaneously.
  • Must be able to work under pressure.
