Executive Assistant to the Human Resources Director
The City of Springfield is looking for a confident executive administrative professional to serve as the Executive Assistant to the Human Resources Director. This role will perform advanced level, complex, and confidential administrative support while providing direct and high‑level support to the Director of Human Resources.
Key responsibilities include fully managing the Director’s calendar, coordinating Personnel Board activities, communicating and coordinating with various City departments—including the offices of the City Manager and City Attorney—preparing and executing highly confidential documents, and coordinating with the City Clerk on department records retention and document preparation.
What You’ll Do- Provide a high level of executive administrative support to the Director of Human Resources.
- Support a strategic leader with a demanding schedule and evolving priorities.
- Handle sensitive, confidential, and complex administrative items on behalf of the Director.
- Coordinate department financial processing and budget monitoring.
- Prepare a variety of correspondence and reports.
- Coordinate activities for the Personnel Board.
- Serve as a personal contact with representatives of other departments, agencies, and outside consultants.
- Strategize and problem‑solve collaboratively.
- Experience coordinating responsible and complex administrative support functions.
- Strong verbal and written communication skills.
- Excellent planning and organization demonstrated abilities.
- Confidence using professional interpersonal skills.
- Ability to maintain a high level of confidentiality and utilize good discernment and decision‑making.

Qualifications and RequirementsAt least three years of responsible administrative office work experience is required.
Preferred- Previous experience supporting an executive‑level position.
- Financial/budget tracking preferred.
- Obtain Notary certification within the first year (plus).
- Valid driver’s license and own vehicle for on‑the‑job transportation purposes.
- Certified Administrative Professional (CAP) is desirable.
