Job Title: Physical Therapy Receptionist (Patient Service Representative)
Location: Springfield Physical Therapy Office, New England Orthopedic Surgeons
Job Type: Full-Time (Regular)
Pay: $18.00–$22.00 per hour
Expected
Hours:
40 hours per week
Work Location: In-person — 300 Birnie Ave, Springfield, MA
- Two days: 9:45 AM–6:15 PM
- Two days: 8:30 AM–5:00 PM
- Fridays: 8:00 AM–4:30 PM
- No weekends required
The role also requires flexibility to provide coverage at any of our five physical therapy locations as needed for emergency coverage or to support vacation and time‑off coverage.

Position SummaryAs a Physical Therapy Receptionist, you will be the first point of contact for our patients. Your responsibilities will include welcoming patients, verifying insurance and identity, collecting co‑pays and deductibles, and maintaining accurate data in our Electronic Health Records (EHR) system. A strong ability to multitask, excellent communication skills, and a professional demeanor are essential to succeed in this role.
Key Responsibilities- Greet and welcome patients upon arrival
- Direct patients to the appropriate physical therapist
- Answer and manage incoming calls, schedule appointments
- Verify insurance information and patient identity
- Collect co‑payments and deductibles
- Maintain a clean and organized front desk and reception area
- Provide accurate information in person, via phone, and by email
- Maintain calendars and schedule meetings
- Perform clerical duties including filing, copying, faxing, and transcribing
Skills & Qualifications
- Minimum 2 years of experience as a medical receptionist
- Minimum 2 years of experience working with EMR systems
- Proficiency in Microsoft Office Suite
- Experience operating standard office equipment (fax, printer, etc.)
- Strong written and verbal communication skills
- Excellent organizational, multitasking, and time management abilities
- Professional appearance and customer service mindset
- High school diploma or equivalent required; additional certification in Office Management is a plus
