Due to continued growth, we are seeking a detail-oriented and organized Administrative Assistant with Collections experience to support daily office operations and assist with accounts receivable and collection activities. The ideal candidate will have strong administrative skills, experience communicating with customers regarding outstanding balances, and the ability to maintain accurate financial and client records.

Key Responsibilities:
  • Administrative Support:
    Provide general administrative support, including answering phones, managing emails, scheduling appointments, and filing.
  • Prepare correspondence, reports, and documents using Microsoft Office or similar software.
  • Maintain organized electronic and physical filing systems.
  • Assist management and staff with special projects as needed.
Key Responsibilities - Collections & Accounts Receivable
  • Contact customers via phone, email, and written correspondence regarding past-due accounts in a professional and courteous manner.
  • Monitor aging reports and follow up on outstanding balances.
  • Process payments, post transactions, and update customer account records accurately.
  • Resolve billing discrepancies and work with internal departments to address account issues.
  • Maintain detailed notes and documentation of collection activities.
  • Ensure compliance with company policies and applicable collection laws and regulations.
Qualifications
  • High school diploma or equivalent required; associate degree or higher preferred.
  • 2+ years of experience in an administrative role with collections or accounts receivable responsibilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent organizational skills and attention to detail.
  • Ability to handle sensitive financial information with confidentiality.
  • Strong time-management skills and ability to prioritize tasks effectively.
Preferred Skills
  • Experience in customer service or call center environments.
  • Knowledge of basic accounting principles.
  • Ability to work independently and as part of a team.
  • Professional, calm, and solution-oriented approach when handling difficult conversations.
