Position: Medical Records/ Staffing

Maintain resident medical records in accordance with facility policy and Public Health standards

Ensure charts are in proper order and documentation is complete (including chart thinning)

Verify physician orders are signed/dated and properly transcribed

Maintain resident records in alphabetical order

Retire and store charts appropriately upon discharge or death

Maintain storage of older charts and ensure accessibility

Compile and organize records from least current to most current documentation

Staffing / Scheduling Support

Assist with staffing coordination and scheduling coverage as needed

Provide flexible on-call staffing support within the building (shared responsibility with other staff)

Administrative / Clerical Support

Answer phones as needed and route messages appropriately

Maintain inventory logs for nursing/medical supplies and par levels

Verify orders match invoices and follow up on backorders or incorrect deliveries

Stock supplies promptly upon delivery

Schedule resident appointments outside the facility and notify Direct Care Staff

Secure required documentation for outside visits

Maintain an accurate appointment calendar

Qualifications
  • Strong organization and time-management skills
  • Ability to maintain confidentiality and handle sensitive information
  • Comfortable working with nursing staff and multiple departments
  • Prior experience in medical records, staffing coordination, or healthcare administration preferred
Education & Experience
  • High School diploma or equivalent required
  • Certified Nursing Assistant (CNA) with at least one (1) year of experience required
  • Previous clerical/administrative experience preferred
  • Must meet all applicable state and federal requirements
Certificates, Licenses & Registrations

Successful completion of a Nurse Assistant training and competency evaluation program, including passing the certification exam
