Role DescriptionThe Payroll Manager oversees all aspects of payroll processing for a 70‑employee medical practice, ensuring accurate, timely, and fully compliant payroll operations. This role requires deep knowledge of Washington State payroll laws, Quick Books payroll processing, and federal payroll tax requirements. The Payroll Manager owns payroll end‑to‑end, including tax calculations, reporting, reconciliations, and year‑end filings. This position also provides minor support to HR functions.
Key Responsibilities Payroll Processing (Primary Function)- Process biweekly payroll for ~60 employees in Quick Books with 100% accuracy.
- Maintain employee pay data, deductions, garnishments, and direct deposit information.
- Calculate and verify:
- WA Paid Family & Medical Leave (PFML)
- WA Paid Sick Leave accruals
- WA State Unemployment (SUI)
- Overtime and shift differentials
- Calculate and submit all required Washington State payroll taxes
, including PFML, SUI, and L&I. - Prepare quarterly federal and state payroll reports (941, 940, state quarterly reports).
- Reconcile payroll tax liabilities and ensure timely payments.
- Assist with year‑end W‑2 and 1099 preparation.
- Maintain payroll records in compliance with WA recordkeeping laws.
- Manage Quick Books payroll settings, updates, and integrations.
- Maintain secure digital files for payroll, taxes, and employee records.
- Assist with employment verifications and basic HR documentation.
- Maintain accurate employee data in payroll and HR systems.
- Coordinate with HR leadership on benefit deductions and changes.
- Provide employees with clear, professional support for payroll‑related questions.
- Manage annual benefits open enrollment process.
- Identify opportunities to streamline payroll workflows.
- 5+ years of full‑cycle payroll experience.
- Strong knowledge of Washington State payroll laws (PFML, L&I, WA Sick Leave, SUI).
- Proficiency in Quick Books Payroll (required).
- Experience calculating federal payroll taxes.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Experience with year‑end filings (W‑2, W‑3, 1099).
- Familiarity with benefits administration (401k, HSA, medical/dental).
