Overview
As a Front Desk Legal Assistant, you will perform a variety of administrative tasks in a collaborative, team-oriented culture. You will support local attorney(s), paralegal(s), and the team by assisting with fee agreement drafting, calendaring, filing court documents, client communication, and preparing and organizing files for use by attorneys during trial, hearings, and other court appearances. Staffing the front desk, answering calls, and serving as the first impression for clients and vendors that visit the office.
Responsibilities- Intake of incoming visitors, direct clients to conference room, and demonstrate hospitality by offering drinks, snacks, etc.
- Maintain office supplies list and the cleanliness of common areas.
- Take payments, make bank deposits, and reconcile petty cash.
- Answer all incoming telephone calls.
- Process client-related documents from paralegals and other employees to ensure proper filing within client files.
- Locate and prepare necessary files for attorneys to use during upcoming court appearances, hearings, trials, client meetings, etc.
- Maintain and update file rooms; e-file and scan documents to update physical and digital files, including filing/e-filing briefs, memorandums, discovery, letters, and other legal documents.
- Travel to court to file documents with the Clerk of the Court and present documents to the Court for signature.
- Support paralegals/attorneys with file review, preliminary legal research, and drafting as requested.
- Calendar hearings, deadlines, meetings, and other events as directed.
- Provide superior service to clients and maintain a professional reputation with clients, opposing counsel, Judges, Court staff, and colleagues.
- All other duties as assigned.
Minimum Qualifications
- High School Diploma or GED required; college graduate with bachelor’s degree or 2+ years of legal experience preferred.
- Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
- Ability to communicate clearly by phone and through written communication.
- Computer proficiency (MS Office: Word, Excel, Outlook).
- Ability to work under pressure, meet deadlines, and provide exemplary customer service.
- Ability to work independently and complete assignments within given instructions, routines, and standard practices.
- Strong process, project, and operational management skills with the ability to juggle multiple tasks.
- Excellent analytical skills and ability to use data and experience-based judgment to make decisions.
- Creative thinker with strong communication and interpersonal skills; positive and professional demeanor.
- Proven track record of collaborating with cross-functional groups to achieve objectives.

Duties will be performed in a standard office environment. Regular, punctual attendance is expected. Some roles may require weekends, holidays, on-call work, and occasional overnight travel.
