We are seeking a highly capable Accounting Coordinator and Office Manager to support our site’s financial, administrative, and basic human resources functions. This is a hands‑on, high‑ownership role ideal for someone who is organized, discreet, and comfortable wearing multiple hats.
Bookkeeping remains the most critical component of this role
, with added responsibility for office coordination and day‑to‑day HR administration.

Accounting & Bookkeeping (Primary Focus):
- Customer invoicing and accounts receivable follow‑up
- Accounts payable and timely bill processing
- Timely cash reconciliation
- Maintain accurate financial records in Quick Books Online
- Purchase order management and revisions
- Support month‑end close and financial reporting
- Work closely with the Controller and site leadership
Office Management & Front Desk:
- Serve as the primary front‑desk contact (phones, visitors, walk‑ins)
- Manage incoming customers and vendor inquiries
- Support employees with administrative and office needs
- Maintain office organization, supplies, and coordination
Human Resources Administration:
- Process and manage monthly payroll accurately and confidentially
- Administer employee benefits, including insurance enrollments and changes
- Maintain employee records with discretion and professionalism
- Assist with onboarding and offboarding
- 3+ years of experience in accounting, bookkeeping, or a related role
- Hands‑on experience with accounting software (e.g.,
Quick Books Online
) - High level of accuracy, organization, and attention to detail
- Ability to handle confidential information with discretion
- Strong communication skills and professional presence
- Ability to work independently and manage competing priorities
- Experience supporting basic HR or benefits administration
- Prior office management or administrative leadership experience
- Experience working in an engineering, manufacturing, or technical environment
- Associate’s or Bachelor’s degree in Accounting, Business, or a related field
