General Summary of Duties

Greet all visitors to the facility. Scan patient IDs and insurance cards. Ensure all new patient paperwork is completed, signed, and dated. Collect appropriate co-pays and/or deposits, balance daily entries, and run reports. Answer telephones, triage calls, and schedule appointments.

Duties and Responsibilities
  • Check patients in for clinical encounters.
  • Scan paperwork, insurance cards, and photo .
  • Collect co-pays, co-insurance, deductibles, and past-due balances.
  • Enter charges and balance daily; provide reports to Office Manager.
  • Audit assigned superbills daily for upcoming appointments (verification of insurance, co-pays/coinsurance, deductibles, remaining out-of-pocket, and current paperwork).
  • Interpret appointment requests and schedule patient appointments according to clinic policies and physician preferences; identify problems and advise appropriate staff.
  • Relay relevant information to internal staff when adding or changing appointments; answer questions about appointments as requested.
  • Safeguard patient information and maintain confidentiality.
  • Participate in office meetings and educational activities; maintain a neat and orderly work area.
  • Other duties as assigned by the Office Manager, Chief Operating Officer, or Physicians.
Requirements
  • High School Diploma or GED. Graduate of an accredited program in medical administration and/or college, business or technical school preferred.
  • Billing/coding experience preferred.
  • Minimum of six months experience in an outpatient clinic preferred.
  • Ability to read, understand, and follow policies and regulations.
  • Ability to use patient management systems and computer software (e.g., appointment systems, electronic medical record systems, email, etc.).
  • Ability to interact and communicate well with patients, staff, and vendors.
