The Client Service Coordinator will oversee daily office operations while supporting caregivers and clients in the field for Senior Helpers, specializing in personal care and companion services. This role is a hands-on leadership position, responsible for recruiting, onboarding, training, and ensuring exceptional care delivery. The Client Service Coordinator will also actively follow up with new business leads, building strong relationships to grow the company’s presence and client base.
Responsibilities- Caregiver Management & Support
- Recruit, interview, and hire qualified caregivers in alignment with company standards.
- Provide initial and ongoing training to ensure caregivers meet quality care and compliance requirements.
- Serve as a primary point of contact for caregivers, offering guidance, performance feedback, and on-call support as needed.
- Maintain caregiver schedule to provide call out coverage as needed.
- Step into client care shifts as necessary to ensure seamless service delivery.
- Client & Lead Engagement
- Respond promptly to leads generated through marketing, referrals, and inquiries.
- Conduct client intake assessments and match clients with appropriate caregivers.
- Maintain regular communication with clients and families to ensure satisfaction and address concerns.
- Collaborate with community partners to promote services and maintain referral relationships.
- Office Administration
- Manage scheduling, ensuring adequate coverage for all shifts.
- Maintain accurate records in the company’s care management system.
- Support billing, payroll, and compliance documentation as needed.
- Ensure all operations comply with state regulations and company policies.
- On-Call Rotation
- Participate in the on-call schedule to respond to urgent client and caregiver needs during and outside of normal business hours.
- Troubleshoot staffing or client care issues to maintain uninterrupted service.
- Proven experience in home care, senior care, or healthcare administration.
- Strong leadership, communication, and problem-solving skills.
- Ability to multitask and thrive in a fast-paced, service-oriented environment.
- Proficient in scheduling systems, Microsoft Office, and basic recordkeeping.
- Compassionate, professional, and client-focused demeanor.
- Must have a valid driver's license, insurance, exclusive use of a vehicle during work hours, and flexibility to work on-call shifts.
Primarily in-office at the Southlake location, with frequent field visits to clients and caregivers in north Tarrant and south Denton counties. On-call responsibilities may require evenings, weekends, or holidays.
