Position: Grants Management Assistant (MMFF)

Position Overview

The grants management assistant reports to the grants and operations manager and serves the Foundation by acting as a primary and often first point of contact for grant partners and those inquiring about the Foundation. This position will also provide support throughout the entire grant making cycle from inquiry to application, to reporting, and the archiving of files after a grant is closed.

The assistant will ensure the Foundation’s grants management database (FLUXX) is accurate and complete including maintenance of grant records; troubleshoot when problems occur; and generate reports as required. The position will also assist in preparations for board and committee meetings.

Principal Duties and Responsibilities
  • Proven abilities in analytical, database and reporting skills
  • Basic understanding of IRS and foundation-specific regulations, assuring compliance with IRS and foundation-specific regulations
  • Creates grant files that meet legal, auditing and foundation requirements
  • Schedules reporting requirements and payments for new grants
  • Maintains multi-year payment schedules and monitors grant balances
  • Provides reports, responses to inquiries and grant histories as requested
  • Communicates externally with grant partners and applicants
  • Communicates internally with staff, trustees, and committee members
  • Serves as primary contact for program team’s FLUXX needs
  • Identifies and works closely with staff team to implement process improvements with respect to the entire grant making cycle; inquiries, applications, reporting, and assessment through the grants management database.
  • Troubleshoots problems as they occur.
  • With the Foundation staff, assist with board meeting preparation and service to grant committees.
  • Participates in training and professional development.
  • All other duties and special projects as assigned.
Qualifications

The ideal candidate should have experience working in and managing a complex and multi-functional database. The Foundation will give priority to a person with experience working in a philanthropic institution, or those with knowledge of and experience working with FLUXX.

The position also requires a person with excellent organizational skills, strong listening and collaborative skills, and the ability to work well in ambiguity. Computer literacy, self-sufficiency and internal drive are essential, as is a commitment to being part of a learning organization.

Required Skills
  • Excellent organizational and communication skills; strong interpersonal skills to effectively work with individuals from diverse communities and organizations.
  • Experience with data analysis, tracking, and comprehensive database management including troubleshooting.
  • Extensive computer skills in order to perform all duties as needed with a special focus on FLUXX, Microsoft Office, Outlook, Word and Excel.
  • Attention to detail and accuracy; ability to maintain confidentiality.
  • A proactive self-starter with the ability to work independently.
  • Solid understanding of and interest in the field of philanthropy.
Reporting

Reports to the grants and operations manager. The grants management assistant also serves Trustees, grant committees, and grant partners. The staff of the Foundation are a tight knit team that work closely with one another and with personnel of a private family office which conducts many operational functions for the Foundation.
