An opportunity for an experienced PERSONAL ASSISTANT & OFFICE ADMINISTRATOR (FARM / COMMERCIAL AGRICULTURE) is required for permanent employment based in Greytown. This is a demanding and high-pressure position requiring accuracy, consistency and strong leadership ability.
DUTIES & RESPONSIBILITIES:
- Full administrative support to the Director
- Managing accounting functions using Xero and Dext
- Payroll processing
- Supplier payments and creditor management
- Accurate fuel and oil capturing
- Daily operational data capturing
- Ensuring workshop job cards are completed and properly filed
- Monitoring and maintaining Health & Safety checks and inspection records
- Labour Department compliance filing
- Maintaining organised records for Health & Safety compliance
- HR administration and labour-related matters
- Working hand in hand with the companys labour broker to request warnings, notices to attend hearings and other disciplinary documentation
- Communicating clearly with the companys foreman to issue disciplinary documents
- Sitting in on disciplinary hearings when required
- Attending Health & Safety and Employment Equity meetings
- Requesting, following up on, and properly filing incident reports according to required standards
- General office duties including filing, laminating, scanning and document management
- Delegating clear instructions and managing staff when the Director is unavailable
EDUCATION, QUALIFICATION, EXPERIENCE &
SKILLS:
- Previous working experience in a farming or commercial agricultural environment essential.
- Proven experience in accounting and bookkeeping
- Practical working knowledge of Xero and Dext (essential)
- Strong proficiency in Microsoft Excel and Microsoft Office Suite (essential)
- Experience with payroll administration
- Excellent organisational and administrative skills
- Strong attention to detail
- Ability to work under pressure in a fast-paced environment
- Consistent, efficient and highly disciplined work ethic
- Strong communication skills with the ability to be firm and assertive when required
- English as a primary language (Zulu speaking will be advantageous)
