Export Administrator

Export Administrator to support our export sales and logistics operations. The role is responsible for processing export orders, coordinating shipments, managing documentation and invoices, and communicating with customers, factories, and freight partners to ensure on-time and accurate delivery of goods.

• Capture and manage export sales orders on the ERP system and confirm order details with customers
• Coordinate container bookings, shipping rates, and logistics arrangements with freight agents
• Prepare and manage export documentation, invoices, dispatch notes, and filing of original documents
• Track shipments and keep customers informed of delivery status
• Liaise with internal teams, factories, warehouses, and freight partners to ensure smooth order fulfilment
• Manage sample orders through to delivery
• Monitor stock availability and request stock reports from freight agents as required
• Assist with credit notes and claims relating to damaged, lost, or incorrect stock
• Support finance activities by ensuring pricing accuracy and timely customer payments
• Handle customer queries, complaints, and special requirements professionally

• Proven experience in export administration, logistics, or international trade
• Strong administrative skills with high attention to detail
• Expert knowledge of export documentation & shipping processes
• Confident communicator with the ability to work across multiple stakeholders
• Proficient in MS Office and ERP systems (Syspro experience advantageous)
• Ability to manage multiple priorities and meet deadlines
