Our internal healthcare agency client is seeking multiple Project Managers to join their team! You will be responsible for coordinating, scheduling, and executing print and digital projects within a fast-paced in-house agency environment. This role supports account and creative teams by managing project timelines, maintaining documentation, and ensuring deliverables remain on strategy, on schedule, and within budget. Success requires exceptional attention to detail, strong communication skills, and the ability to manage multiple initiatives simultaneously.

You will partner closely with Account Managers (AMs) and operate at a high level of independence (there is no layered PM structure on the team). The most successful PMs here proactively "keep the trains running," ask smart questions, stay deeply dialed into the work, and learn the nuances of each project to anticipate risks and dependencies. The team has scaled significantly and operates at high volume, often under tight timelines.

Experience working within regulated workflows (e.g., medical, legal, regulatory) is highly valued.

Required Qualifications
  • Recent advertising agency experience (within the last 2 to 3 years) supporting account/client services; comfortable partnering closely with AMs in an in-house or internal-agency environment.
  • Proven ability to manage high-volume portfolios (commonly 40-60 concurrent projects; surges to ~80-100 for busy periods) with rigorous timeline/dependency management and clear risk escalation.
  • Exceptionally detail-oriented and proactive, with a high-energy, solutions-oriented approach, asks good questions, anticipates next steps, and keeps work moving in fast-paced, regulated environments.
Other Qualifications
  • Experience developing and maintaining detailed project timelines, mapping dependencies (what must happen first/next), and articulating risks of skipping steps.
  • Ability to work cross-functionally without direct authority and to keep multiple plates spinning while staying organized.
  • Strong note-taking, documentation, and communication skills.
  • Solid understanding of agency workflows across account, creative, studio, programming/development, and review cycles.
  • Adaptability in a high-volume, fast-paced environment; patience and persistence during onboarding are welcomed.
  • Proficiency with common PM tools, the client uses Kantata (Mavenlink) for project management;
    Microsoft 365 (email/chat) for day-to-day communication. Smartsheet exposure is a plus as the team is introducing it. Workfront familiarity is helpful but not required.
  • Bachelor's degree required.
  • Pharmaceutical marketing experience within the last 2 to 3 years or experience in other highly regulated industries (e.g., FDA/government-regulated environments).
  • Digital project experience and/or print-production background.
Key Responsibilities
  • Manage a high volume of concurrent print and digital projects from kickoff through delivery.
  • Build and maintain detailed project timelines, mapping dependencies and identifying risks when steps are skipped or delayed.
  • Lead regular status meetings and capture clear, action-oriented notes to keep teams aligned.
  • Route projects through internal workflow, approvals, and MLR (medical, legal, regulatory) review processes.
  • Stay closely connected to the work to understand scope, requirements, and potential bottlenecks across each project.
  • Partner daily with Account Managers, creative, studio, and programming teams to advance work and resolve issues quickly.
  • Support marketers who often come to the team already behind schedule; reprioritize and adjust workflows as needed.
  • Prepare project documentation including specs, folder structures, estimates, and review materials.
  • Maintain organized documentation across all active initiatives.
  • Act as point of contact for third-party vendors, sharing updates and troubleshooting issues.
  • Coordinate with Senior PMs when volume spikes to align on priorities and timelines.
