Description

We are looking for a skilled Administrative Assistant to join our client's team on a contract basis in South Hadley, Massachusetts. This role requires a detail-oriented and organized individual to support daily office operations, ensuring smooth workflows and efficient communication. The ideal candidate will excel in administrative tasks and be comfortable handling responsibilities such as data entry, answering calls, and managing receptionist duties.

Responsibilities:

- Manage incoming phone calls by providing accurate information and directing inquiries to the appropriate departments.

- Perform data entry tasks with a high level of accuracy to maintain and update company records.

- Provide administrative support to ensure the office operates efficiently and effectively.

- Greet visitors and clients professionally while addressing their needs or directing them appropriately.

- Organize and maintain office files, ensuring documents are easily accessible and properly labeled.

- Assist with scheduling meetings, appointments, and other calendar-related tasks.

- Collaborate with team members to address administrative challenges and improve processes.

- Prepare reports and documents as requested by management.

- Monitor office supplies and coordinate replenishment when needed.

- Uphold professionalism and confidentiality in all communications and interactions.

Requirements - Proven experience in administrative roles or similar positions.

- Strong proficiency in data entry and managing office records.

- Excellent communication skills, both verbal and written.

- Ability to handle a multi-line phone system and direct calls effectively.

- Familiarity with receptionist duties, including greeting visitors and managing inquiries.

- Demonstrated organizational skills with attention to detail.

- Proficiency in office software such as Microsoft Office Suite.
