About

The Role

Fermilab seeks an experienced Project Manager to support complex projects involving specialized equipment, structures, information networks, and financial systems. Working under general direction with significant independent decision‑making authority, you will develop and manage multiple projects by setting objectives, coordinating activities, leading staff, and ensuring documentation, controls, and project plans are implemented.

The role spans multiple projects or major phases of larger efforts, handling moderately complex problems that require strong analytical judgment within defined procedures and practices. You will evaluate project conditions, determine appropriate actions, and ensure alignment with DOE O413.3B, Fermilab project‑management standards, and mission objectives.

Day‑to‑Day Responsibilities Project Planning, Execution & Oversight
  • Oversee, prioritize, and assign project work in the field.
  • Evaluate work quality, quantity, and completeness against procedures, plans, schedules, and best practices.
  • Determine scope, requirements, and deliverables in collaboration with clients, customers, and stakeholders.
  • Implement plans to meet objectives and integrate all project activities.
  • Use project‑management software (e.g., in Eight or Pro Core) to manage RFIs, submittals, change orders, and design updates.
  • Develop agendas, chair meetings, and lead project reviews.
  • Maintain documentation requirements, ensuring all records are stored, organized, and accessible.
  • Develop, modify, or contribute to required documents such as Execution Plans, Acquisition Strategies, Management Plans, Design Reports, Earned‑Value System Descriptions, Risk Management Plans, and Quality Assurance Plans.
  • Lead development of cost estimates and monitor budgets to stay within baselines.
  • Develop and maintain schedules to ensure timely project completion.
  • Review plans and schedules with craft supervisors (primarily mechanical subcontractors) and negotiate fair pricing for design changes and related issues.
  • Obtain and maintain resources through coordination with laboratory and collaboration management.
  • Interface with site owners, trade coordinators, and project managers to develop daily, weekly, monthly, and long‑term schedules.
  • Arrange project‑level reviews to assess performance, identify risks, and recommend improvements.
  • Enhance project visibility through reviews and collaboration activities.
  • Communicate status to Senior PM, Division/Section Managers, Director’s Office, and funding entities.
  • Prepare and deliver presentations or briefings on all project aspects.
  • Negotiate, establish, and track MOUs and SOWs with participating institutions.
  • Monitor activities and resources to identify and mitigate risks.
  • Implement and maintain quality assurance processes; recommend corrective action as needed.
  • Ensure compliance with environmental, health, and safety regulations and Fermilab policies.
Additional Responsibilities
  • Manage, lead, and provide training on project resources and activities.
  • Execute the project change‑control process.
  • Perform other duties as assigned.
  • Adhere to all ES&H requirements and Fermilab safety policies.
Skills & Attributes for Success
  • Experience managing subcontracted mechanical construction, especially HVAC and plumbing.
  • Knowledge of chilled water systems, cooling towers, large air handlers, and related mechanical systems.
  • Strong understanding of project‑management principles and DOE Order 413 processes.
  • Ability to work effectively across multiple teams and disciplines.
  • Competency using project‑management tools such as in Eight or Pro Core.
  • Strong communication, negotiation, leadership, and documentation skills.
Minimum Required Education & Experience
  • Bachelor’s degree in Construction Management, Engineering Management, Engineering, Computer Science, Physics, or Business Administration, plus 5 years of relevant experience, or an equivalent combination of education and experience.
Work Arrangement
  • Onsite – Full‑time position based at Fermilab, Lead, SD (LBNF‑DUNE project site).
