General Statement of Job

Under direct supervision of the District’s Central Kitchen Supervisor, assists the supervisor with managing the department’s inventory. Manages the Central Kitchen Warehouse, including warehouse staff, to ensure that food is received, stored, and distributed in a manner that is consistent with HACCP Food Safety Principles and the department’s procedures for accountability. Monitors the department’s Meals Plus Inventory System to ensure inventory is updated each day in an effort to ensure full accountability and minimize expenses at all levels of the operation.

Specific Duties and Responsibilities Essential Functions
  • Tracks inventory throughout all stages (arrival, transfer, usage, discarding).
  • Monitors on-hand inventory levels and develops plans for usage or transfer prior to the point of loss resulting from incidents such as reaching the expiration date.
  • Works frequently with registered dietitian, chef lead, and other team members to develop creative recipes that can help reduce on-hand inventory levels.
  • Completes a full inventory on the last day of each month, and provides this inventory report to the Operations Manager by the 5th of each month.
  • Ensures that inventory of high-volume and/or high-value items are taken periodically throughout the week.
  • Reviews the menu cycle, on-hand inventory levels, and forecasted meal participation.
  • Determines and finalizes the amount of inventory that needs to be ordered and/or distributed in a manner to reduce wastes and minimize expenses.
  • Orders all inventory for the department.
  • Manages receipt of all inventory in the warehouse, and ensures that warehouse staff follows procedures for inspecting and receiving inventory.
  • Receives all package documents and invoices for inventory delivered to the Central Kitchen Warehouse. Verifies orders have been fulfilled 100%, and interacts with vendors to resolve issues with deliveries.
  • Enters all invoices and order documentation into Meals Plus to ensure that inventory quantities are accurate and up to date on a daily basis.
  • Tracks the expiration dates of all foods stored in the Central Kitchen Warehouse to ensure that “First In First Out” Principles are being followed by warehouse staff.
  • Inspects foods leaving the warehouse to ensure that they are at its highest quality. Monitors food on the ship-out floor to ensure that food is maintained in a safe environment and that safe food temperatures are maintained while being loaded.
  • Assigns tasks associated with (but not limited to) conducting inventory, pulling inventory, and warehouse maintenance/sanitation to warehouse staff.
  • Ensures that all inventory is available in a timely manner to facilitate a smooth load and ship out process each day.
  • Tracks all inventory that leaves the Central Kitchen Warehouse at all times, and ensures that no inventory leaves without formal request and approval.
  • Ensures that the department’s policies and procedures regarding accountability are followed by all staff as inventory moves through various stages of the operation. Identifies weak areas in the operation where accountability processes need to be strengthened in an effort to reduce waste or increase efficiency.
  • Supervisory duties include coaching, assigning, reviewing, planning, maintaining health and safety standards and coordinating activities. Reviews the work of subordinates for completeness and accuracy, offers advice and assistance as needed. Makes sure that the warehouse staff is working efficiently and meeting departmental goals and objectives each day.
  • Ensures that the Central Kitchen Warehouse has updated its inventory into the Meals Plus Inventory System before the close of business each day. Sends alerts and/or recommendations for corrective action to appropriate management-level employees in an effort to correct or resolve issues pertaining to inventory or the inventory-management system.
