Job Title: Student Services Program Coordinator (P2 - Professional)

Location: Columbia, SC – College of Arts and Sciences, CAS Psychology Department

Job Summary

Under the limited supervision of the Psychology Department Chair and the Graduate Program Director, this position manages the daily operations of the Psychology Graduate Student Services Office. Primary responsibilities include student hiring and financial management, coordination of the graduate program course schedule, assistance to concentration directors regarding APA accreditation, curriculum requirements, student applications, progression, and graduation requirements, and compilation of student data into reports upon request.

The role serves as a liaison between the department and the Graduate School and helps develop and administer policies and procedures to ensure compliance with the American Psychological Association, the University, and Graduate School requirements.

Key Responsibilities
  • Advises the graduate program director and faculty members of all Graduate School regulations and serves as liaison for interactions with the Graduate School.
  • Creates departmental admission files and detailed applicant spreadsheets for each of the four graduate programs.
  • Coordinates procedures to ensure timely completion of milestones and submission of paperwork.
  • Coordinates graduate student seminars and defenses.
  • Conducts the Graduation Clearance process and informs students of deadlines and graduation day details.
  • Completes annual advising sessions with all graduate students to document progress toward their degree.
  • Coordinates and assists with the APA accreditation process for the Clinical-Community and School Psychology Graduate Programs.
  • Prepares and responds to requests for reports concerning student information, including annual reports and updates for the website.
  • Coordinates and processes graduate student assistantships, outside student contracts, and tuition abatements.
  • Hires students using the online hiring system and assigns them to teaching, research, or graduate teaching roles.
  • Coordinates the scheduling of all graduate‑level classes for each semester.
  • Assists the Graduate Director with graduate student recruitment efforts and coordinates logistics for visiting prospective graduate students.
  • Edits and updates program information, ensuring all materials are current and posted on the relevant websites.
  • Assists in formulating agenda items and taking minutes at committee and program meetings.
  • Responds to outside requests for information regarding admission to the graduate programs.
  • Coordinates orientation and prospective student open houses.
  • Performs all other duties as assigned to contribute to the success of the Department of Psychology and the College of Arts and Sciences.
Qualifications
  • Minimum required education: Bachelor’s degree in a related field and 2 or more years of related experience (or an equivalent combination of education, training, and experience).
  • Preferred qualifications: Experience with student services, course scheduling coordination, data collection and summarization, and compliance with federal, state, and university policies.
  • Excellent oral and written communication skills; strong organizational and managerial abilities.
  • Proficiency with Microsoft Word, Excel, Access, and other database management tools.
Work Schedule

Monday through Friday, 8:30 a.m.–5:00 p.m. (1 hour lunch). Willingness to work a flexible schedule to meet departmental needs is required.

Salary & Benefits

State pay range: G08 (MRE $48,726–$70,653). Anticipated hiring range: $48,726–$56,000.
