General

Description

The Financial Administrator & Office Manager is a full‑time position responsible primarily for the church's financial stewardship, accounting, and bookkeeping, while also supporting essential daily administrative operations of the church office.

The majority of this role focuses on financial management and reporting. The remaining portion supports clerical and administrative office operations to ensure smooth ministry functioning.

Qualifications & Requirements

Must pursue a vibrant and growing relationship with Jesus Christ and model a consistently maturing faith in actions and relationships.

Must be an active member of a like‑minded, local Christian church, and not a member of FBCCLOVER.

Must demonstrate strong accounting principles and financial bookkeeping expertise.

Must possess proficiency in general office equipment and computer software (Word, Excel, accounting software, and database systems).

Must be highly organized, detail‑oriented, and capable of managing time and multiple responsibilities effectively.

Confidentiality is of utmost importance due to the sensitive nature of financial and member information.

Primary Responsibilities

Maintain confidentiality of all church financial and personal records. Information may only be shared as directed by the Lead Pastor. Violations may result in termination.

Reconcile all bank and investment accounts monthly.

Prepare monthly financial statements, including:

  • Fund Activity Statements

Review checks weekly and confirm accuracy.

Oversee accounts payable, including printing checks and confirming staff credit card expenses.

Make appropriate bank transfers as needed.

Periodically invest or reinvest surplus funds as directed by the Stewardship Committee.

Maintain complete and accurate general ledger records.

Contributions & Giving

Receive miscellaneous monies and verify teller receipt records.

Record and post individual contribution records weekly.

Review the posting of offerings to the church database (minimum quarterly).

Prepare and mail annual contribution statements.

Review a sample of annual giving statements prior to distribution.

Payroll

Maintain payroll records for all church employees.

Submit hours and earnings to the payroll service bi‑weekly.

Print payroll records and distribute pay stubs.

Enter federal and state tax information into the financial program.

Annually review payroll setup (salaries, retirement, deductions).

Review W‑2 forms prior to distribution.

Budget & Annual Financial Responsibilities

Prepare and distribute budget worksheets to committees and teams.

Compile committee and team budgets into a consolidated worksheet for Stewardship Committee review.

Review submitted budgets to eliminate duplication of expenses.

Assist the Stewardship Committee in preparing the annual church budget.

Review and record year‑end accruals.

Prepare the annual Church Letter to the SC Baptist Convention.

Compile financial information for the Annual Church Profile and required association reporting.

Policy Compliance

Adhere to all FBC rules, procedures, and policies, including the FBC Financial Policy.

Administrative & Office Responsibilities

Oversee general office operations and maintain an organized and efficient church office.

Attend weekly staff meetings.

Maintain the church calendar.

Prepare and mail general correspondence as needed.

Maintain church database records for members, families, committees, and workers.

Assist in preparing materials “as needed” such as:

  • Monthly calendar for newsletter
  • Reports requested by organizational leaders
  • Church communications
  • Support church reporting to the York Baptist Association.
  • Maintain secure weekly backups of financial and administrative files.
  • Answer the phones, receive and distribute mail, and greet visitors.
