Integrated Talent Strategies (ITS) is seeking a Program Administrator, Infrastructure Solutions to work remotely. This position offers a variety of great benefits, including health insurance and paid time off.
Job Responsibilities- Support the Program Manager with ad-hoc requests/issues related to sales order management and Smartsheet Administration/Configuration.
- Set up Procore or other designated project management and collaboration systems for each project.
- Conduct data analysis to ensure system information aligns with real manufacturing progress.
- Assist in the preparation, design updating, and communication of project reports, including sourcing up-to-date Financial KPI information.
- Record project or site change orders, allocate actions, and ensure they are communicated and reviewed progressively.
- Establish and manage processes for recording manufacturing progress to ensure accurate invoice and revenue recognition.
- Establish effective communication with key project representatives, executives, and customer representatives to identify and report information that varies from the plan.
- Support the development of a data center standard project life cycle and processes for future projects.
- Assist in identifying key project information, records, and procedures.
- Ensure project records are uploaded to the project intranet and designated management systems, maintaining good practice standards.
- Highlight areas where records do not meet standards.
- Maintain and communicate a regular holiday tracker for the project team, client representatives, and executives to support effective planning and coordination.
- Maintain workflows and ensure they are followed when documentation is issued between internal departments.
- Coordinate project finance meetings by organizing and liaising with attendees to ensure presence and resolve meeting clashes.
- Track cost, budget, and revenue for original, current, and forecast evaluation on assigned Infrastructure Solutions Projects.
- Identify and resolve sales orders accounting issues.
- 5 - 7 years of experience in project, manufacturing, or construction management.
- Advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint internet-based principles.
- Proficient ERP and/or CRM experience is a bonus.
- Knowledge of Smartsheet and Power
BI is a bonus. - Ability to plan, set priorities, and organize and coordinate work with others.
- Demonstrates good customer relation skills by providing prompt personalized service.
