Overview
The South Carolina Judicial Branch invites applications for the position of Administrative Assistant in Circuit Court in 5th Circuit. Under direct supervision of the Circuit Court Judge, performs administrative and secretarial duties, which generally requires individual discretion in the interpretation and application of office policies and procedures.
Essential Duties and Responsibilities- Answer phones, log and manage mail, organize the office, draft forms, maintain files, schedule conference calls, and schedule hearings. Attend and keep minutes of meetings for committees the Judge participates in.
- Organize inmate correspondences; correspond with attorneys/paralegals; act as liaison between Judge and attorneys; log all incoming/outgoing orders and attorney protection requests; keep records of cases of interest; review incoming orders for errors; log ex parte letters from inmates; log bench warrants; complete the Judge s section of all motion/order cover sheets; interact with Clerk s offices across the state; collect and return orders from the Clerk s office;
collect orders and correspondence from the Clerk s office and Judge s box; interact with the Solicitor s Office and Public Defender s Office; and interact with Probation/Parole Offices. - Respond to and address all courtroom issues prior to court; print documents needed by the Judge or Law Clerk; organize the Judge s calendar of events; create calendars of the Judge s traveling and log all default packages; complete and submit the Judge s travel voucher and MUA reports; complete and submit annual Judicial Reports; maintain inventory of all furniture for annual review;
assist Court Administration representative in annual inventory. - Assist visiting Judges with needs including parking, key cards, locations, hotels, restaurants, etc.
- Oversee the application process for new Law Clerk hires; aid in training Law Clerks and orient new Law Clerk to office procedures; assist Judge and Law Clerk with computer problems; interact with IT on both State and County levels.
- When the Judge is out of the county, perform all necessary office duties so the office operates as if the Judge were in.
- Perform all other duties as assigned.
A high school diploma and 3 years of related administrative/secretarial work experience. Computer and word processing experience (e.g., Microsoft Office Suite) required. Administrative/secretarial experience working in a court environment or legal setting.
Required Knowledge, Skills, Abilities and Other Characteristics- Knowledge of principles, policies, and practices of office management.
- Knowledge of applicable terminology and research practices; knowledge of grammatical rules, spelling, language usage, and clerical formats.
- Knowledge of bookkeeping practices.
- Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals.
- Ability to maintain confidentiality; ability to communicate courteously and effectively, both orally and in writing, with Judges, attorneys, and the general public.
- Ability to exercise judgement and discretion in interpreting and applying policies and procedures.
- Punctuality and avoidance of excessive absences required.
