Position Summary: The Facilities Systems Operations Manager supports the Facilities Maintenance, Fleet Maintenance, and Landscaping Departments in a fast-paced resort environment, ensuring administrative, financial, and coordination functions are executed efficiently and in alignment with the resort’s operational and guest-service standards. The position plays a critical role in supporting year-round and seasonal operations while maintaining safe, efficient well-maintained, and guest-ready property.
Pay Rate: The rate of pay listed on job boards are auto-generated numbers. Kiawah Island Golf Resort’s actual rate of pay will be determined during the hiring process.
Qualifications- Bachelor’s degree in Business Administration, Hospitality Management, Facilities Management, or a related field preferred.
- 3–5 years of administrative or operations experience within hospitality, resort operations, property management, facilities, landscaping, or a related environment.
- Experience supporting seasonal operations and high-volume workloads preferred.
- Combination of office and on-property work in a resort environment.
- Regular interaction with Facilities, Landscaping, and Fleet Maintenance teams as well as resort leadership and external vendors.
- Strong organizational skills with the ability to manage multiple priorities in a dynamic resort environment.
- Excellent communication and interpersonal skills with a guest-service mindset.
- Proficiency in Microsoft Office; experience with CMMS or facilities/landscaping management systems preferred.
- Strong attention to detail, problem-solving skills, and professional discretion.
- Provide day-to-day administrative support to the Facilities, Landscaping, and Fleet Maintenance leadership teams.
- Coordinate departmental schedules, meetings, and project timelines, including seasonal ramp-up and peak operational periods.
- Prepare reports, internal communications, and presentations related to facility operations, landscaping initiatives, capital projects, and fleet maintenance.
- Maintain organized records for work orders, permits, warranties, inspections, and regulatory documentation.
- Assist with departmental budgets, forecasts, and expense tracking for Facilities, Landscaping, and Fleet Maintenance.
- Process purchase orders, invoices, and expense reconciliations in coordination with Finance.
- Track costs related to departments, landscaping projects, emergency repairs, and vendor services to ensure budget compliance.
- Coordinate scheduling and communication with external vendors, contractors, landscaping providers, and service partners.
- Assist with contract administration, renewals, and service agreements.
- Ensure vendors meet resort standards, insurance requirements, and safety protocols.
- Support compliance with local, state, and federal regulations, including safety inspections and audits.
- Maintain records related to inspections, preventative maintenance programs, landscaping safety procedures, and training.
- Assist with emergency preparedness documentation, storm readiness, and operational readiness planning.
- Serve as a liaison between Facilities, Landscaping, and resort departments including Operations, Housekeeping, Golf, Recreations, Transportation, HR, and Finance.
- Coordinate communication related to facility and grounds projects, outages, closures, and guest-impacting work.
- Maintain systems such as CMMS, asset tracking tools, landscaping project logs, and work order reporting platforms.
- Ensure accuracy and timely completion of work orders and maintenance documentation.
- Identify opportunities to streamline administrative processes and improve operational efficiency across Facilities, Landscaping, and Fleet Maintenance.
Physical Requirements
- Ability to work in both office and on-property environments across the resort.
- Ability to stand, walk, and move throughout the property for extended periods.
- Ability to navigate stairs, uneven terrain, and operational areas as needed.
