The Licensing and Title Clerk is responsible for handling all aspects of vehicle registration, titling, and licensing processes in accordance with local, state, and federal regulations. This position ensures accurate and timely processing of all title and registration documents while maintaining excellent customer service for internal and external stakeholders.
Key Responsibilities- Prepare, process, and submit title and registration documents for new, used, and wholesale vehicles.
- Ensure all documentation complies with state Department of Motor Vehicles (DMV) or Department of Revenue (DOR) regulations.
- Verify vehicle identification numbers (VIN), odometer readings, and title information for accuracy.
- Maintain knowledge of state titling and licensing requirements and update processes accordingly.
- Process lien releases, payoffs, and duplicate title requests.
- Communicate with customers, financial institutions, and government agencies to resolve title and registration issues.
- Accurately record and file all title transactions, ensuring data integrity in internal databases and systems.
- Collect appropriate fees and taxes related to titling and registration; reconcile payments and transactions.
- Track and follow up on outstanding titles and resolve any discrepancies or delays.
- Assist in maintaining inventory records of temporary tags and plates.
- Provide administrative support and assist with other clerical duties as needed.
- High school diploma or GED required; associate degree or administrative training preferred.
- Minimum 1-2 years of experience in automotive titling, DMV, or related clerical/administrative work.
- Familiarity with vehicle registration and title processes, preferably within a dealership or state agency.
- Strong organizational skills and attention to detail.
- Ability to prioritize and manage multiple tasks with accuracy and efficiency.
- Proficient in Microsoft Office Suite and comfortable using title-processing software.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Customer service-oriented with a professional demeanor.
Physical Requirements
- Primarily an office-based role with occasional visits to DMV offices or other agencies.
- Requires sitting, typing, and viewing a computer screen for extended periods.
- May require light lifting of documents or supplies (up to 25 lbs).
Perform other related duties as assigned.
