Supports the department's daily operations by handling administrative tasks, managing schedules, and coordinating events. Key duties include answering phones, managing correspondence and files, assisting with budgets and inventory, and liaising between management and staff to ensure smooth and efficient operations. Ensures that all support and service is conducted and fulfilled in a manner consistent with the ONE BRAYS Leadership Credo.
Responsibilities- Answer phones, take messages, type correspondence, and handle general office duties.
- Schedule meetings and coordinate events.
- Maintain files, records, and databases; track expenditures and budget status.
- Act as a liaison between management and staff, respond to guest comments, and manage communications.
- Assist with inventory management and purchasing processes.
- Type menus, place cards, and other documents as needed.
- Provide exceptional customer service to owners, guests, and internal and external partners.
- Other duties as assigned.
- Capable of working extended hours, including weekends and holidays as necessary.
- Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed.
- Must be able to speak English in a clear and understandable voice for telephone communication.
- Position involves sitting, standing, and/or movement throughout the day; must be able to transport oneself around the office and plantation.
- Must be physically and intellectually capable of operating a personal computer, printer, fax machine, dictating machine, telephone, and other business equipment.
- Duty of maintaining files and records may involve stooping, bending, lifting, pushing, pulling or moving objects weighing up to 45 lbs several times a day.
- Must interact with all types of individuals, be mentally alert, detail oriented, and possess good reasoning skills.
- Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays; must remain focused and work effectively, efficiently, and cheerfully.
- Must work effectively and cheerfully in a potentially stressful environment caused by adversarial situations arising from job duties.
- High school graduate or equivalent, with emphasis in secretarial skills; minimum 5 years experience as an executive secretary or senior office manager.
- Highly effective interpersonal skills, problem solving abilities, and advanced communication skills required. Must possess strong oral and written communication skills and be self‑motivated.
- Excellent typing skills (accuracy and speed) required. Knowledge of Word, Excel and other Microsoft Office software necessary.
- Loyalty and respect for confidentiality mandatory.
- Previous experience in an administrative role essential, preferably within the hospitality or F&A industry.
- Appearance, mannerism, and presentation must be highly professional.
