Graduate Programs Coordinator at the University of South Carolina – Law School (Columbia, SC)
Salary Range: $49,396 – $55,000, commensurate with experience
Pay Band: 5
Job Level: A3 – Administrative/Operational Support
Hours: 37.5 per week (Monday‑Friday, 8:30 am‑5:00 pm, 1‑hr lunch) with flexibility as needed
Under the limited supervision of the Director of Graduate Programs and direct supervision from the Program Manager for the Excellence in Policing and Public Safety Programs, the Coordinator will provide comprehensive administrative support to faculty and staff for non‑JD graduate programs. Responsibilities include HR duties, travel coordination, expense and payment processing, budget tracking, and website maintenance for programs such as the Master’s in Health Law, Excellence in Policing and Public Safety Credentialing, Master’s in Environmental Law, and other non‑JD initiatives.
Key Responsibilities- Handle all HR functions related to graduate programs, including new hire processing and adjunct faculty employment.
- Manage travel arrangements, expense reports, payment requests, purchase orders, and purchasing card use.
- Track spending against program budgets and report variances to faculty program directors.
- Maintain program websites in accordance with Law School and University policies.
- Assist in the preparation and communication of program materials, presentations, and event logistics.
- Serve as the administrative assistant for faculty advisors of special initiatives, ensuring timely launch and target achievement.
- Support program and initiative personnel in ad‑hoc tasks as required.
- Administrative duties for new graduate programs: 40%
- HR contact, position descriptions, hiring proposals, adjunct faculty hiring: 30%
- Program material preparation, meetings organization, events management: 15%
- Support for special initiative faculty advisors: 10%
- Additional duties as required: 5%
- High school diploma or GED with at least 2 years of related work experience.
- Proficiency in Microsoft Office (Word, Excel) and Adobe Acrobat.
- Bachelor’s degree and 2 years of experience in business management, public administration, or administrative services (or equivalent).
- Prior work within the USC system or experience with HR processes.
- Familiarity with People Soft and the Slate CRM system.
- Competency in handling travel cards and purchasing cards.
- Ability to learn new University and Law School policies quickly.
- Advanced proficiency in Microsoft Suite and Adobe Acrobat.
- Strong problem‑solving skills and independent work ethic.
- Professional and respectful interaction with faculty, staff, students, and alumni.
- Exceptional attention to detail.
- Ability to learn People Soft and Slate quickly.
- Knowledge of applicable University, Educational Foundation, and Law School policies.
