Summary
Reports to the Director. Under general supervision, performs various routine and non‑routine secretarial services requiring some exercise of initiative and judgment. Duties may include typing, greeting visitors, setting up appointments, filing, record‑keeping, and relieving supervisor of minor administrative functions.

- Answer telephone calls, refer callers appropriately, greet visitors and direct them as necessary.
- Prepare a variety of items including correspondence, forms, charts, statistical and financial tables, records, treatment plans, treatment‑team conference minutes, staff conference minutes, purchase orders and other requisition forms as requested.
- Relieve manager of minor administrative functions.
- Maintain manager’s calendar, make appointments and coordinate schedules.
- Coordinate minor projects for manager(s) by pulling together information, researching information and following up to ensure timely completion.
- Prepare files, records, charts; make labels, index, gather required standard information, post information; search for and obtain reports, charts and copies to complete files.
- File, retrieve and deliver records and charts as requested.
- Contact associates to obtain information or relay information regarding meetings, resolve payroll, purchasing and data processing problems.
- Provide general orientation to new department associates concerning general office and department practices.
- Receive, sort and distribute mail and other materials.
- Operate standard office equipment (personal computer, calculator, photocopier) and other needed equipment.
- Complete other job‑related duties and projects as assigned.
- Attend and participate in department meetings and be accountable for all information shared.
- Complete mandatory education, annual competencies, and department‑specific education within established time frames.
- Complete annual employee health requirements within established time frames.
- Maintain license/certification, registration in good standing throughout fiscal year.
- Direct patient‑care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilize appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adhere to regulatory agency requirements, survey process and compliance.
- Comply with established organization and department policies.
- Be available to work overtime and additional shifts when required.

- High school diploma or equivalent; a minimum of one to two years of secretarial experience utilizing knowledge of office procedures, organization and computer skills.
- Well‑developed secretarial skills, including keyboarding, transcription, office organization and the ability to operate and troubleshoot standard office equipment specific to the needs of the department.
- Proficiency in computer skills with solid working knowledge of word processing and spreadsheet software applications.
- Comprehensive understanding of department/unit policies, procedures and operations to assume non‑complex administrative assignments.
- Analytical skills necessary to independently work on projects, plan the work day and complete reports containing data from several sources.
- Interpersonal and communication skills (both verbal and written) to interact effectively with a diverse group of internal and external contacts.
- Well‑developed phone usage skills.
- Works in an office environment.
