Position: Executive Assistant- (Part Time)

Overview

The Executive Assistant provides advanced and varied clerical and administrative support to the Chief Executive Officer; prepares correspondence and reports; maintains contact reports; manages schedules and calendars; plans and coordinates meetings; schedules complex travel arrangements; answers telephones and maintains electronic and hard copy files. The Executive Assistant maintains close contact with Club stakeholders to receive/provide information and discuss/resolve issues. The Executive Assistant handles confidential information with utmost discretion and performs special projects for the CEO as assigned.

Essential

Functions
  • Performs advanced secretarial duties; researches, complies, and prepares reports and correspondence. Proofreads all materials for accuracy prior to supervisory review and signature.
  • Assists with CEO’s extremely active calendar, scheduling meetings and making logistical and travel arrangements necessary for internal and external meetings.
  • Coordinates logistics and materials for Board meetings. Prepares meeting agendas and minutes, as requested.
  • Anticipates in advance what the CEO needs and plans accordingly.
  • Protects the CEO’s time allowing maximization of CEO’s effectiveness. Knows the CEO’s priorities and assists the CEO in focusing on the high-leverage activities.
  • Organizes, prioritizes, and coordinates multiple work activities with the ability to meet deadlines.
  • Collaborate with Marketing and Communications team on materials for executive management.
  • Answers telephones, providing general information, referring callers to other staff or taking messages as necessary.
  • Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information.
  • Monitor office supply inventory and order supplies as necessary.
  • Handles requests and queries appropriately and proactively.
  • Ability to professionally represent the CEO and BGCNIC while maintaining relationships with all key stakeholders.
  • Provides support for the CEO outside of the traditional office setting.
  • Performs special projects as assigned.
  • Other duties as assigned.
Qualifications
  • Bachelor’s degree
  • Must be comfortable in office environment with strong computer skills
  • Excellent written and verbal communication skills
  • Good organization and attention to detail
  • Strong customer relations skills
  • Able to maintain strict confidentiality

Must be able to pass any and all required background screens and drug screens at any time.

Salary Range

Starting at $18/hr
