Johnston County Department of Social Services has an immediate opening for a Processing Assistant III. The department seeks a highly motivated self-starter to work with the Medicaid Division Director and other management staff. This role requires extensive experience with Microsoft Office and Google Workspace (Word, Excel, Docs, Sheets). Responsibilities include data collection and entry into local and state systems, taking minutes, proofreading materials, scheduling, and disseminating information.

The position may be cross trained to serve as a receptionist and rotate mail pickup and delivery when needed, greet customers and visitors, and assist with directing them to the appropriate location or services.

Periodic performance of emergency on-call duties may also be required. Performs other duties of a similar nature and level as assigned.

Responsibilities

Essential duties and responsibilities include, but are not limited to, the following:

  • Provide a variety of office support and technical assistance to accomplish mail flow throughout the agency.
  • Receive, prepare and scan mail into the electronic data management system.
  • Interact with internal and external customers regarding supply requests and orders, delivery of mail, and questions about items scanned.
  • Maintain timeliness and documentation requirements as mandated by State and County regulations.
  • Perform other duties of a similar nature and level as assigned.
  • Be able to lift at least 30 lbs. and hold a valid North Carolina driver’s license.
Knowledge,

Skills and Abilities
  • General knowledge of office or work unit procedures, methods and practices.
  • General knowledge of correct spelling, punctuation and specialized vocabulary; ability to proofread.
  • General knowledge of office accounting, database management, and record-keeping procedures and mathematics and their application in the work environment.
  • Ability to use spreadsheet software applications such as Microsoft Excel or Google Sheets.
  • Ability to learn and apply a variety of guidelines.
  • Ability to handle confidential and sensitive information appropriately.
  • Ability to use a variety of office equipment; ability to work with people with courtesy and tact.
  • Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.
  • Ability to record and compile information based on general guidelines.
  • Ability to gather and provide information and instructions regarding work processes or procedures.
  • Ability to balance and reconcile figures.
  • May coordinate the work of other support staff, student workers or volunteers.
  • Ability to learn to use specialized equipment.
Education and Experience

High School Diploma or equivalent and demonstrated possession of knowledge, skills and abilities gained through at least one year of office assistant/secretarial experience, or an equivalent combination of training and experience.

Preferred Qualifications

Associates Degree with extensive advanced experience and knowledge of Microsoft Office and Google Workspace, including customizing page layouts, templates, capturing and recording data, using shortcuts and formula functions, building charts and graphs, sorting and filtering data. Preference will be given to individuals who have executive assistant experience.
