Position Overview

Michels Communications Corporation is seeking a highly organized and detail-oriented Administrative Coordinator to support the daily operations of our publishing and marketing team. This role plays an important part in keeping our internal processes running smoothly while assisting with client communication, project coordination, and social media management for our publications.

This position works closely with our sales team, editorial team, and graphic designers to help coordinate projects, assist with client approvals, manage scheduling, and ensure internal workflows stay on track. The ideal candidate will be comfortable managing multiple responsibilities while maintaining strong organization and communication.

This is an in-office, team-focused role that requires strong attention to detail, a proactive mindset, and the ability to support multiple departments within the organization.

Key Responsibilities Administrative Support
  • Answer incoming phone calls and direct inquiries to the appropriate team members.
  • Provide administrative support to sales representatives and internal departments.
  • Assist with scheduling meetings, coordinating internal projects, and maintaining documentation.
  • Help manage client communication related to ad approvals, content approvals, and project coordination.
  • Support general office operations and assist with miscellaneous administrative tasks as needed.
Sales & Project Coordination
  • Assist the sales team with account coordination and campaign logistics.
  • Help ensure projects move smoothly between sales, editorial, and design teams.
  • Track approvals, deadlines, and internal project milestones.
  • Provide support during production cycles to ensure timelines are maintained.
Social Media & Content Support

Assist with creating simple social media content that supports Michels Communications publications and advertisers.

Be comfortable appearing on camera and helping facilitate Facebook Live interviews, business spotlights, and community features
.

Visit local businesses to film retail store drop-bys, behind-the-scenes content, and advertiser highlights
.

Assist with realtor listing walk-throughs and other short-form promotional videos that provide added value to advertisers.

Support the team in capturing authentic content that highlights local businesses, events, and community stories.

Stay informed on social media trends and simple video formats that help increase engagement and visibility for our partners.

Event & Community Support
  • Assist in coordinating marketing initiatives and community outreach events.
  • Support internal teams with event logistics, promotions, and scheduling.
  • Help represent Michels Communications in community-related initiatives when needed.
Qualifications

Required:

  • Strong organizational and administrative skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple projects and deadlines simultaneously
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Comfortable working in a collaborative team environment

Preferred:

  • Degree in Marketing, Communications, Business, or a related field
  • Experience managing social media accounts in a professional setting
  • Familiarity with social media scheduling tools (Hootsuite, Buffer, etc.)
  • Basic experience with graphic design tools or Adobe Creative Suite
  • Previous office administration or coordinator experience
