Summary

Responsible for the efficient and effective accomplishment of all accounting, billing, receiving monies and bill payment of the entire Sheriff's Department. Maintain departmental records for sick leave, vacations, compensatory time off, and payroll.
Assists other clerical staff as needed. This position is under the direct authority of the County Sheriff/Major/Lieutenant
Essential Functions and Responsibilities:
These duties are typical for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.
- Answer phone inquiries and greet persons within scope of responsibility and refer inquiries to proper resource when necessary.
- Security clearance of all personnel that enter secure reception doors.
- Thorough knowledge of computer programs and preparing of word documents and working with Excel, Shieldware and any other software that may be used.
- Process and prepare for service any civil papers presented to the Sheriff’s Office and complete paperwork following service (return of service or mailing return to originator).
- Assist covering lunch hours and employee absences in public reception areas.
- Successfully completed Basic Iowa System Training for NCIC Full Access and must successfully recertify every one (1) year.
- Assist gun permit division with entering permit holders to database, accepting permit applications from the public.
- Performs criminal and NICS checks for gun permit applications.
- Assist SOR registry with updating files of registrants who present themselves for registry check-ins.
- Ordering of supplies as directed by Administration.
- Open and distribute mail to appropriate people within the Sheriff’s Administrative offices and forward all inmate mail to Secondary Control to document, scan and distribute to inmates.
- Input information on all people that are visiting inmates in the jail.
- Perform computer checks for possible local warrants of a subject that may be visiting an inmate or inquiring about an outstanding warrant.
- Fingerprinting of applicants or public requesting fingerprints for personal reasons.
- Trouble shooting problems with public visiting terminals.
- Responsible for collection of inmate’s money from all three Kiosks and daily deposits of money and balancing of books.
- Responsible for the monthly bank statements for Jail, Electronic Monitoring, Work Release and Room and Board Accounts.
- Responsible and accountable for the accurate, timely, and efficient preparation of Jail reports as directed by Civilian Lieutenant.
- Assist in accurate light bookkeeping, recordkeeping, and filing of documents.
- Notarizes papers as necessary.
- Scan files as required by Administration.
- Add Correctional Officers to the banking system.
- Set up appointments for parole hearings/evaluations.
- Troubleshoot money problems with inmates.
- Credit commissary orders/manage orders of released inmates.
- Call family members of released inmates for property.
- Responsible for work release/room and board accounts and payments.
- Any other task assigned by the Sheriff or his designee.
- Attendance is required.
Minimum Education and Experience Required to Perform Essential Functions:
- Must possess High School diploma or General Equivalency Degree (GED).
- Ability to set priorities regarding assignments and follow through to completion.
- Specific knowledge of a body of rules or operations for a particular functional area or areas such as might be acquired in one (1) to three (3) years of prior related experience.
- Knowledge of bookkeeping.
- Knowledge of record keeping.
- Computer for data entry, spreadsheets and word processing, calculator (10 key), copier/scanner, possess.
- Keyboarding skill test from Iowa Workforce Development with a 40 WPM (net score), within the last 12 months.
- Knowledge of speed writing, dicta phone transcription, typing.
