POSITION SUMMARY
Performs diverse administrative and secretarial duties for Communication Director. Relates to complex and highly confidential data and assists in designated administrative details using initiative and sound judgment. Requires knowledge of church policy and organizational structure, a high level of technical and Internet-related skills, high levels of tact, friendliness and other aspects of strongly developed interpersonal skills plus proven organizational skill.

Grade 5 ($22.67 - $34.01)

SUPERVISOR
ESSENTIAL JOB FUNCTIONS
- Maintains a well-organized office, often in the absence of supervisor, with efficient/electronic filing system.
- Serves as project coordinator for departmental projects, assisting the Director to ensure deliverables are completed on schedule and within scope.
- Provides weekly updates on project progress with the Communications team and any others involved in the process, documenting progress, identifying barriers, and ensuring team members understand priorities and deadlines.
- Work with departments in providing excellent customer service and delivering successful outcomes on requested work products.
- Oversees the electronic filing and organization of all departmental items, ensuring efficient systems for storing, retrieving, and maintaining documents.
- Coordinates with the Archives, Statistics & Research (ASTR) department on the archiving of departmental materials, both physical and digital.
- Serves as translation coordinator, working with translators to answer questions and convey upcoming items and responsibilities.
- Select articles and schedules them for the monthly GAiN email, working with contributors to ensure timely submission of materials.
- Processes all departmental financial documentation, including expense reports, Diner’s Club statements, routine purchase orders, check requests, and travel authorizations, ensuring accuracy and compliance with policy.
- Schedules and maintains the daily calendar of the supervisor.
- Screens telephone calls and responds to routine and non-routine inquiries using standardized formats; refers unusual or complex inquiries to the supervisor or other appropriate offices.
- Compiles and schedules the Communiqué weekly employee update for the General Conference, ensuring timely publication and accuracy of internal announcements.
- Processes incoming mail: opening, dating, sorting, and distributing to departmental staff.
- Processes, issues, and maintains databases for press badges as well as event registration data.
- Manages the Communications Studio schedule and coordinates equipment maintenance.
- Must be a member in regular standing of the Seventh-day Adventist Church.
- Must maintain a regular and reliable attendance schedule.
- Other duties as assigned.
QUALIFICATIONS
Education and Experience
- Bachelor’s (BA/BS) degree required with coursework in communications, public relations, broadcasting, or English preferred. Applicable, relevant work experience may be acceptable in lieu of academic requirements.
- A minimum of three years successful relevant work experience is required.
Knowledge, Skills & Abilities
- Well-developed knowledge of principles, policies and beliefs of the General Conference and the Seventh-day Adventist Church.
- Strong English language skills are essential. Must be proficient in proofreading.
- Knowledge of Adobe Creative Suite programs such as InDesign, Photoshop as well as experience in a variety of web content management systems essential.
- Must be able to meet daily deadlines often with numerous interruptions.
- Must have good organizational skills, work well with people, and have the ability to adapt and work under emergency situations.
