Position SummaryThe Executive Assistant / Paralegal is a dual‑hatted position in which the incumbent’s primary responsibilities are as a confidential Executive Assistant. The position also requires Paralegal responsibilities primarily on cases in which the President serves as counsel. The Executive Assistant reports directly to the President and assists with managing his calendar, schedule, email inbox, and tracking billable time to clients. This role involves frequent interaction with firm members, clients, opposing counsel, senior government officials, and other stakeholders.
The Executive Assistant also assists the Managing Partner and other Partners as time allows.
- Executive Support (70%)
- Screen incoming telephone calls, take messages, and transfer calls as appropriate.
- Schedule appointments for the President and manage the calendar, resolving conflicts.
- Track and input billable time to clients, including hand‑entered time and time reported by the President.
- Triage the President’s email inbox and voicemails, responding on behalf of the President.
- Arrange work‑related travel as requested.
- Draft short correspondence and email communications to clients, attorneys, and internal staff.
- Coordinate bi‑weekly staff and partner meetings – gather information, create agendas, and handle logistics.
- Compile financial documents and prepare binders for finance meetings.
- Assist other partners with scheduling and tasks as time allows.
- Maintain confidential files and records.
- Paralegal Duties (30%)
- Attend calls with the President and clients, take notes, and track deadlines.
- Communicate with clients and attorneys, preparing for client meetings, discovery, depositions, hearings, trials, arbitrations, or other court proceedings.
- Conduct legal research and handle case‑related documents (mail, fax, email).
- Gather basic information from clients and potential clients concerning legal claims and damages.
- Maintain detailed, organized client records and update archives.
- Draft and track representation offers for potential clients with appropriate follow‑up.
- Proven experience as an executive assistant and/or paralegal.
- Previous experience exercising sound judgment with the highest respect for confidentiality.
- Strong understanding of legal terminology, procedures, and document formats.
- Proficiency in Microsoft Office Suite and legal software (e.g., Diligent, Westlaw, Lexis Nexis).
- Exceptional written and verbal communication skills.
- Comfortable speaking on the telephone to clients, attorneys, judges, and senior officials.
- Ability to work independently and prioritize assignments and tasks.
- Ability to manage multiple priorities and meet deadlines.
- Adaptability to changing schedules and occasional irregular hours.
- Strong attention to detail, organizational skills, and discretion.
- Ability to assist with establishing remote video links using Microsoft Teams and Zoom.
- Previous experience working in a law firm or legal environment.
- At least a Bachelor’s degree with 2+ years of professional experience or an Associate degree with 5+ years of experience.
From $30 per hour based on experience.
