The Radiation Oncology Review Coordinator provides clerical, scheduling, insurance authorization, financial coordination, and receptionist support for the Radiology and Radiation Oncology departments. This position plays a key role in coordinating patient care, managing complex treatment schedules, ensuring insurance authorization compliance, and supporting financial processes. This role is accountable for following departmental and organizational policies and serves as a role model for ethical behavior consistent with SRMC’s Mission and Behavior Standards.

Responsibilities:
  • Coordinate new patient referrals, including gathering medical records, imaging, pathology, and lab results prior to consultation.
  • Schedule complex, high-volume radiation oncology services including consults, simulations, treatment planning, and daily treatments.
  • Coordinate interdisciplinary appointments with Medical Oncology, Surgical Oncology, Imaging, Lab, and ancillary departments.
  • Manage schedule changes due to treatment delays, toxicity, or plan changes.
  • Prepare and maintain patient treatment calendars and simulation schedules.
  • Register new patients and verify demographic and insurance information in EMR systems (MOSAIQ, ARIA, Epic, etc.).
  • Educate patients on upcoming appointments, testing, and preparation instructions.
  • Ensure documentation (referrals, consents, outside records) is scanned and charts are prepared 24–48 hours in advance.
  • Monitor and follow up on missed appointments and report trends as appropriate.
  • Collaborate with physicians, nurses, and therapists to optimize patient flow and treatment room utilization.
  • Coordinate pre-authorizations and pre-certifications for radiation treatments, imaging, and procedures.
  • Review documentation to ensure medical necessity meets payer requirements.
  • Verify insurance benefits, copays, and deductibles.
  • Track authorizations, approvals, and expiration dates.
  • Assist with denied claims, appeals, and peer-to-peer review processes.
  • Collect copays and verify charges for services.
  • Identify patients in need of financial assistance and refer to financial counselors.
  • Perform reconciliation to ensure treatments are authorized and appropriately scheduled.
  • Serve as liaison between patients, providers, nursing staff, and insurance carriers.
  • Maintain strict HIPAA compliance and patient confidentiality.
  • Retrieve, process, and return outside films, CDs, and medical records.
  • Remain current on billing regulations and compliance standards.
  • Other duties as assigned by management.

Requirements:
  • High school graduate or GED.
  • Prefer minimum of 3 years of authorization, utilization management, or healthcare scheduling experience.
  • Strong knowledge of medical terminology, oncology terminology, ICD-10 and CPT coding preferred.
  • Experience with EMR systems (MOSAIQ, ARIA, Epic, Meditech) preferred.
  • Strong organizational skills and ability to manage high-volume, complex scheduling.
  • Excellent verbal and written communication skills.
