Job Description

The Coordinator, Office Services ensures the office environment is supported and operational by executing daily administrative and facilities‑related service delivery. Working closely with Core Office Services leadership, the Coordinator triages and fulfills onsite service requests, coordinates property and vendor interactions, and maintains a positive workplace experience for team members and visitors. Client Operations and Engagement Teams serve as the primary consumers of Office Services offerings, utilizing the office environment to support client delivery and operational needs.

This role requires a strong service mindset, the ability to prioritize and multi‑task, and effective communication skills. The Coordinator operates as an individual contributor and is required to be onsite due to the nature of the responsibilities and support model of the Core.

Responsibilities
  • Facilities and Workplace Readiness:
    Maintaining quality/cleanliness of shared spaces, training and conference room resets, furniture setup and breakdown, space readiness for visitors and teams. 20%
  • Mail, Shipping, and Courier Services:
    Daily incoming/outgoing mail, Fed Ex/UPS/USPS/courier processing, AR bank drops (if applicable), tracking and deadlines. 15%
  • Meetings, Events, and Catering Support:
    Meeting room scheduling & setup, internal event coordination, catering orders & delivery accuracy, room resets and post‑event cleanup. 15%
  • Coordinate process for large‑scale duplicating projects including copying, collating, assembly, scanning and distribution of internal and external client deliverables. 10%
  • Front Desk, Phones, & Client Service:
    Reception coverage, answering/routing calls, visitor support, serving internal clients (Client Operations, Engagement Teams, etc.). 10%
  • Office Supplies & Breakroom Management:
    Ordering & stocking supplies, breakroom consumables (coffee/snacks/beverages), inventory monitoring, invoice coding (if applicable). 10%
  • Security Access, Badge & Onboarding Support:
    Badge access provisioning, new hire workstation preparation, keys + nameplates + supplies, exit cleanup/turnover. 7%
  • Equipment & Vendor Coordination:
    Troubleshooting printers/A/V/basic equipment, coordinating repairs, acting as landlord/vendor point of contact, tracking vendor contracts (location‑specific). 7%
  • Safety, Documentation & Other Duties:
    Safety protocols, fire/security/health compliance, record‑keeping, special projects and other duties as assigned. 6%
Qualifications
  • High School Diploma required
  • 1 to 3 years relevant experience required
  • Demonstrated ability to communicate clearly and concisely with team members.
  • Able to work effectively and take direction in a team setting.
  • Takes initiative to identify stakeholders directly impacted by the services provided.
