St Luke’s Hospice is looking for a compassionate, organised and detail-focused Clinical Administrator to join our dedicated Clinical Administration Team. This is a vital role supporting the smooth running of our clinical services and helping ensure patients, families and clinical teams receive timely, high-quality administrative support.
Working closely with nursing, medical and support teams, you will play a key role in managing clinical information, patient records and communication across services, always maintaining the highest standards of confidentiality and professionalism.
About the roleAs a Clinical Administrator, you will provide efficient and effective administrative support across our clinical services, contributing directly to the delivery of high-quality patient care. You will be involved in coordinating meetings, managing referrals, maintaining patient records and supporting communication between internal teams and external agencies.
This role requires flexibility, excellent organisational skills and a strong commitment to teamwork.
Key responsibilities- Provide administrative support for Multi-Disciplinary Team (MDT) meetings, including booking rooms, circulating documentation, taking and distributing notes, and following up actions
- Process and manage referrals from external agencies and internal teams
- Accurately input, update and retrieve patient and clinical data across electronic and paper-based systems
- Monitor and manage relevant email accounts and undertake general administrative duties such as filing, scanning and photocopying
- Ensure the accurate and timely flow of clinical information and produce reports as required
- Prioritise work effectively to ensure patient correspondence is handled in line with service standards and timescales
- Maintain strict confidentiality of patient information in line with GDPR and organisational policies
- Manage the medical records room, including annual archiving and liaison with off-site storage providers
- Develop an understanding of Community Nursing and Patient & Family Support Services to respond proactively to queries
- Support communication between professional teams, departments and external agencies
- Provide cross-cover for other departments including Main Reception, Community Administration and clinic support
- Support and train other Clinical Administration Team members on clinical processes where required
You will be an organised and reliable administrator with excellent attention to detail and the ability to manage competing priorities. You will be confident working with sensitive information, comfortable using a range of systems, and able to work both independently and as part of a supportive team.
