Process Mail:
Process incoming and outgoing mail daily. Scan incoming and outgoing mail site file copies. Log incoming reports into the BER Document Tracking Database. Proof, edit, format, and print correspondence. Prepare envelopes from the address database and make copies for distribution. Process mass mailings using the mail merge function and creating a data source. Maintain and update the section's address database.
Prepare travel vouchers and purchase orders according to BER and agency policies.
Job Responsibilities may include but are not limited to the following:
QA/QC & Scanning:
Responsible for scanning, routing and linking bureau documents (electronic and hardcopy) into the BER electronic Image Now file system as needed by Section Chiefs and project managers by following the established guidelines and rules and route for internal and public access. Understand and follow the Bureau and Sections filing systems. Perform QA/QC daily on all documents for maximum accuracy after they are scanned and linked into the Image Now system.
Supervisor will assign whole or partial sites to be scanned and linked into the Image Now system as needed. Review scanned documents to ensure the documents are legible, rotated correctly, in color when needed, sized as small as possible and still maintain good resolution, linked to the correct ISL project code, compatible file category selected, applicable document type is selected, document date entered, and document description is manually entered within the constraints of the Standard Descriptions workbook.
Track and log complete scanned sites into an Excel spreadsheet.
Qualifications
* Education:
* High School, GED
* Licensing & Certification:
* Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State
* Preferred Qualifications:
* Education in office management
* Word, Excel, PowerPoint, Access
* Proofreading, editing, attention to detail
* Excellent communication skills
* Advanced Microsoft Outlook proficiency
* Experience using Image Now/Perceptive Content system
* Experience in providing training to new employees
* Three years in customer service/office support type work preferred
* Minimum Qualifications:
One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency
