Job Summary
We are seeking a highly organized and detail-oriented Accounts Receivable Specialist to join our finance team. This role is essential in managing the company's receivables, ensuring accurate billing, timely collections, and maintaining strong relationships with clients. The ideal candidate will possess a solid understanding of accounting principles, financial software, and customer service practices. This position offers an opportunity to contribute to the financial health of our organization through precise account management and analysis.
Key Responsibilities:
- Prepare, review, and send invoices using various accounting software such as Quick Books, Sage, or People Soft
- Monitor customer accounts for overdue payments and initiate professional collection efforts
- Reconcile accounts receivable ledger with general ledger to ensure accuracy
- Process incoming payments via checks, ACH transfers, or wire transfers and apply them correctly
- Conduct account analysis to identify discrepancies and resolve billing issues efficiently
- Maintain detailed records of transactions, adjustments, and collections for audit purposes
- Collaborate with sales and customer service teams to address billing inquiries and improve revenue cycle processes
- Support month-end closing activities by preparing aging reports and account reconciliations
- Ensure compliance with financial regulations such as SOX (Sarbanes-Oxley Act) and GAAP (Generally Accepted Accounting Principles)
- Assist in training staff on accounting software tools like Quick Books, Quicken, or Sage
- Proven experience in accounts receivable management within diverse sectors including healthcare, non-profit, or governmental accounting
- Strong knowledge of accounting software including People Soft, Sage, or similar platforms
- Familiarity with financial concepts such as debits & credits, journal entries, double entry bookkeeping, and account reconciliation
- Excellent data entry skills with high accuracy (10 key typing proficiency)
- Analytical skills for account analysis and financial data interpretation
- Effective negotiation skills for collections while maintaining positive customer relationships
- Knowledge of internal controls related to SOX compliance
- Strong organizational skills with attention to detail and ability to prioritize tasks effectively
- Excellent communication skills with professional phone etiquette and customer service orientation
