Wolf Bay Asset Management is a growing property management company specializing in the third-party management of commercial properties in the greater Seattle / Bellevue area. We provide services for owners of retail, mixed use, office and industrial properties.

Overview

Position Overview: We are seeking a Senior Property Manager to join our team. This role will oversee a portfolio of commercial properties from Tacoma to Everett. The ideal candidate will be a service-oriented professional with strong relationship skills, vendor management experience and understanding of the budgeting process. The Senior Property Manager will review and report on the financial performance of properties in the assigned portfolio.

The Senior Property Manager will be responsible for day-to-day operations and maintenance, tenant management, tenant improvement and capital projects, budgeting and the financial performance of each assigned property. This position will work closely and in collaboration with the accounting and facilities team.

The Senior Property Manager’s Role

Position responsibilities and duties include, but are not limited to, the list provided below.

  • Build and maintain strong, positive relationships with tenants, vendors, and owners.
  • Respond promptly and professionally to tenant inquiries and service requests.
  • Prepare budgets, complete annual reconciliations, review monthly financials, administer leases and manage delinquencies and collections.
  • Negotiate and manage service agreements, vendor contracts, and work order requests, ensuring quality service and cost efficiency.
  • Ensure compliance and understanding of obligations outlined in management contracts.
  • Conduct regular property inspections to ensure properties are maintained to high standards.
  • Coordinate tenant move-ins and move-outs, including walkthroughs and tenant improvement projects.
  • As needed, coordinate maintenance and repair of facilities, to include but not be limited to, HVAC systems, elevator maintenance, irrigation systems, building access card systems, interior and exterior of buildings, roofs, fire life safety and security systems, parking lots, janitorial, landscape and pruning, window cleaning, winter services, etc.
  • Schedule and coordinate recurring maintenance projects such as pressure washing, gutter cleaning, roof and environmental inspections, etc.
  • Work directly with vendors in collecting bids, W9’s and insurance certificates and ensuring work is completed to bid specifications in a timely and professional manner.
  • Oversee special projects as assigned, to include scope definition, securing competitive bids and management of projects to completion.
  • Assist with utilities management, to include evaluating usage, charges, reading of meters, management of meter installs and replacements.
  • Respond to after-hours emergency calls
  • Assist and collaborate with team members as needed
Qualifications

  • Excellent conflict resolution, written and verbal communication
  • Aptitude for organizing and prioritizing tasks and problem-solving
  • Ability and experience in managing and growing team members
  • Ability to work collaboratively or independently
  • High school Diploma or equivalent required; bachelor’s degree preferred
  • Five or more years of prior property management experience
  • Experience with Microsoft Excel, Word and Outlook; experience with Yard and/or App Folio a plus
