Innovative Driven is seeking a Legal Secretary to join the Legal Administrative Services team at a leading law firm client! In this role, you would perform a variety of secretarial and administrative tasks to support attorneys and paralegals. This position offers a hybrid schedule, requires three days onsite in the firm’s Seattle office with a schedule of 8:30am-5:00pm, and the ability to travel as needed for trial.
Responsibilities include, but are not limited to:
- Maintaining positive and collaborative working relationships with assigned Practice Group Partners/Associates/Paralegals, clients, administrative departments, and vendors
- Effectively collaborating to ensure the attorneys and paralegals are fully supported
- Managing all aspects of the discovery process, including drafting, formatting, and proofreading discovery requests and responses
- Handling State, Federal, and Appellate ECF filings along with demonstrating an understanding of relevant court rules, local rules, and calendaring needs
- Working knowledge of the court’s Pacer Pro and its workflow procedures
- Coordinating with attorneys, clients, and opposing counsel to ensure timely and accurate production of materials
- Using legal resources, including court websites, Federal Rules of Civil Procedure, California Code of Civil Procedure, California Rules of Courts, Lexis-Nexis, and Westlaw
- Generating and troubleshooting Table of Contents and Table of Authorities using Best Authority while maintaining proficiency with Blue Book and state citation styles
- Compiling court filings to maintain client's internal file system
- Performing a variety of administrative functions including preparing check requests, invoices, and reimbursements
- Managing and updating calendars as needed
- Assisting with attorney timekeeping
- Reviewing bills for consistency, accuracy, spelling, and substance
- Ensuring accurate execution of billing and collection instructions
- Responding to client requests
- Resolving A/R and collections issues
Skills and Qualifications:
- The ideal candidate will have 5 years of experience supporting litigation attorneys/paralegals in a law firm setting
- Possess a solid understanding of the litigation process
- Ability to multitask in a fast-paced deadline-driven environment
- Effective prioritization, time management, and decision-making skills
- Ability to solve problems and proactively provide solutions
- A keen eye for details and high adaptability
- Ability to work independently with minimal supervision
- Knowledge of current technologies and an ability to adapt to new technologies
